Position Overview
A Receptionist serves as the first point of contact for visitors, clients, and staff, playing a key role in representing the organization's image. This position involves managing the front desk operations, handling incoming calls, greeting guests, directing inquiries, and providing administrative support to various departments.
The ideal candidate is personable, professional, and organized, with excellent communication skills and the ability to multitask in a dynamic environment. Receptionists help ensure that the office operates smoothly and that visitors and employees receive a welcoming and efficient experience.

Maintaining Visitors and Interviewees records
Observing employees' punch-ins and punch-outs
Festivals preparations
Managing stakeholders appointments
Key Responsibilities
1. Front Desk Management

Greet and welcome visitors with a friendly and professional demeanor.

Ensure guests are properly signed in and directed to the appropriate department or person.

Maintain a clean, organized, and presentable reception area at all times.

Manage visitor records and issue visitor passes or ID badges when necessary.

Handle incoming and outgoing mail, packages, and courier services.
2. Communication Handling

Answer, screen, and forward incoming phone calls promptly and professionally.

Take accurate messages and ensure timely delivery to the appropriate recipient.

Respond to general inquiries via phone, email, or in person.

Provide basic information about the organization, its departments, or services when required.
3. Scheduling and Coordination

Manage meeting room bookings and coordinate room setups as needed.

Assist with scheduling appointments for staff or external visitors.

Maintain calendars for key personnel (if required) and notify them of appointments or changes.

Organize refreshments or materials for meetings and conferences as directed.
4. Administrative Support

Perform clerical tasks such as data entry, filing, photocopying, scanning, and printing.

Maintain office supplies inventory at the front desk and notify admin staff of replenishment needs.

Help prepare documents, reports, or letters using MS Office or similar software.

Assist with internal communication and distribute memos, notices, and circulars.
5. Office Coordination

Serve as a liaison between internal staff and external service providers (e.g., cleaners, maintenance, vendors).

Ensure front-office equipment (phones, printers, monitors) is in working condition and report issues as needed.

Coordinate with security personnel regarding visitor policies and office access protocols.

Help implement health, safety, and security procedures at the front desk.
