Job Description

Receptionist (Head Office, Malad East)

We are looking for a well-presented and professional Receptionist to manage our front desk at the Head Office of a leading chemical manufacturing company. The role involves handling calls, greeting visitors, managing couriers, and providing excellent customer service, while also supporting basic HR and admin tasks such as clearing utility bills, coordinating with vendors, and assisting with documentation. The person will also be responsible for housekeeping oversight and general office coordination to ensure smooth day-to-day operations.

Key Responsibilities:

1. Front Desk & Visitor Management:

  • Greeting Visitors: Welcome clients, visitors, and employees, ensuring they are greeted warmly and professionally.

  • Visitor Assistance: Direct visitors to the appropriate departments or personnel, ensuring they are comfortable while waiting.

  • Sign-In Protocol: Ensure all visitors sign in, follow security guidelines, and receive visitor badges as required.

  • Handling Inquiries: Address general inquiries and provide information about the company’s services and products.

2. Call Management:

  • Answering Calls: Answer incoming phone calls promptly and direct them to the appropriate department or staff member.

  • Message Taking: Accurately take messages when necessary, ensuring that they are conveyed to the correct person in a timely manner.

  • Call Screening: Screen calls, identify urgent matters, and prioritize appropriately.

3. Courier & Mail Handling:

  • Receiving Couriers: Manage the incoming and outgoing couriers, ensuring timely and accurate delivery of documents and packages.

  • Mail Management: Sort and distribute incoming mail, and prepare outgoing mail as needed, ensuring all items are properly logged and dispatched.

4. Administrative & HR Support:

  • Utility Bill Management: Assist with clearing utility bills, tracking payments, and managing necessary documentation for monthly settlements.

  • Vendor Coordination: Coordinate with vendors for office-related needs, including supplies, maintenance, and services.

  • HR Support: Provide basic support in HR tasks, such as maintaining employee records, assisting with onboarding, or coordinating interviews.

  • Documentation: Help with document filing, organizing contracts, and assisting in HR and admin paperwork when needed.

5. Housekeeping & Office Coordination:

  • Housekeeping Oversight: Supervise housekeeping staff to ensure that the office remains clean and well-maintained throughout the day. Address any cleanliness issues promptly.

  • Supply Coordination: Monitor office supplies and maintain stock levels, making sure the front desk, pantry, and common areas are fully stocked.

  • General Office Support: Provide general office coordination and assist with any administrative tasks to ensure smooth day-to-day operations, including managing office repairs, cleaning, and basic facilities maintenance.

6. Customer Service & Problem Resolution:

  • Customer Service Excellence: Provide excellent customer service to clients and visitors, creating a welcoming atmosphere.

  • Problem Solving: Address any issues or concerns from visitors or staff members, ensuring quick and effective resolution. Escalate issues to relevant departments if necessary.

Qualifications & Skills:

  • Educational Qualifications:

    • High School Diploma or equivalent (required).

    • Additional certification in Office Administration, HR, or related fields is a plus.

  • Skills:

    • Excellent Communication: Strong verbal and written communication skills, with the ability to interact confidently with clients, vendors, and staff.

    • Organizational Skills: Ability to manage multiple tasks and prioritize effectively in a busy office environment.

    • Customer Service Orientation: Friendly, approachable, and professional demeanor with a focus on client satisfaction.

    • Attention to Detail: Strong attention to detail, especially for administrative tasks such as documentation, bill payments, and vendor coordination.

    • Problem-Solving: Ability to address and resolve office-related issues quickly and effectively.

    • Time Management: Capable of handling high-volume work and managing time effectively to meet daily tasks and deadlines.

    • Office Software Proficiency: Proficient in Microsoft Office Suite (Word, Excel, Outlook), and comfortable with phone systems and office equipment.
