Job Overview:

We are seeking a friendly and reliable Receptionist to join our team. As the first point of contact for customers, you will play a vital role in creating a positive first impression. The role involves handling customer inquiries, managing daily operations, processing payments, and handling telephone calls efficiently.

While fluency in English is not a strict requirement, you should be a good communicator who can interact effectively with customers and staff. The ideal candidate will be organized, personable, and capable of managing various tasks simultaneously in a fast-paced environment.

Key Responsibilities:

1. Customer Handling:

  • Greet and welcome customers in a friendly and professional manner.

  • Assist customers with inquiries, provide information about products/services, and direct them to the appropriate departments or staff.

  • Ensure customers feel valued and address their needs or concerns in a timely manner.

  • Handle customer complaints or issues, ensuring a positive resolution and maintaining customer satisfaction.

2. Operational Support:

  • Assist with the smooth day-to-day operations of the office or business.

  • Ensure the reception area is clean, organized, and welcoming at all times.

  • Manage office supplies, equipment, and inventory to ensure smooth operations.

  • Perform administrative tasks such as filing, organizing documents, and maintaining records.

  • Coordinate with internal departments to ensure the efficient flow of information.

3. Payment Handling:

  • Process payments for goods or services, including cash, card, or online transactions.

  • Ensure accurate billing and issue receipts to customers.

  • Handle petty cash and provide change when necessary.

  • Maintain records of financial transactions and report any discrepancies.

  • Ensure the payment process is smooth and secure.

4. Telephone Handling:

  • Answer incoming telephone calls, take messages, and direct calls to the appropriate person or department.

  • Handle customer queries over the phone professionally and provide accurate information when possible.

  • Manage appointments and schedules over the phone, ensuring efficient use of time.

  • Maintain a neat telephone log for incoming calls, appointments, and customer inquiries.

5. Administrative Support:

  • Assist in scheduling appointments and meetings for staff and customers.

  • Handle incoming mail, packages, and deliveries, ensuring proper distribution within the office.

  • Maintain and update databases, client records, and customer files.

  • Assist in preparing reports, documents, and presentations as required by the team.

Skills:

  • Good Communication: Clear, friendly, and approachable communication style with customers and colleagues.

  • Organizational Skills: Strong ability to manage multiple tasks, prioritize work, and maintain organization.

  • Attention to Detail: Ensure accurate record-keeping, billing, and communication.

  • Customer Service Orientation: Ability to remain calm and professional when dealing with difficult customers or high-pressure situations.

  • Multitasking: Comfortable handling phone calls, customers, and administrative tasks simultaneously.

  • Basic Computer Skills: Ability to use basic office software (Microsoft Office, email, etc.) and POS (Point-of-Sale) systems for payment processing.

  • Language Proficiency: Ability to communicate in local language(s) and basic proficiency in English (preferred but not necessary).
