Job Description
1. Handling Reservations of Grackle Properties:
- Booking Reservations: The primary responsibility is to manage reservations, whether made via phone, email, online booking platforms, or in person.
- Confirming Bookings: After receiving a reservation, the department must confirm the booking with the guest, ensuring that the reservation details (dates, room type, special requests) are accurate.
- Managing Cancellations and Modifications: Reservations must be updated or canceled according to the guest’s requests or policies of the Grackle hotels.
2. Providing Information:
- Availability and Rates: Answering inquiries regarding room availability, pricing, and Grackle hotel facilities.
- Special Requests: Addressing guest preferences, such as room type, bed configuration, or early check-in/late check-out.
3. Maintaining Room Inventory:
- Room Allocation: Ensuring that room types are appropriately allocated based on availability and guest requirements, balancing overbooking and under booking.
- Updating Availability: Continuously updating the availability of rooms in the system to prevent overbooking and ensure accurate information.
4. Processing Payments:
- Advance Payment: Handling deposits or advance payments for reservations when required, either as pre-payment or guarantee.
- Payment Confirmation: Ensuring all financial transactions related to the reservation are confirmed and recorded.
5. Upselling and Promotions:
- Suggesting Upgrades: Offering guests room upgrades or additional services to enhance their experience and increase revenue.
- Promoting Offers: Informing guests of any special promotions, discounts, or packages available during their stay.
6. Managing Group Reservations:
- Group Bookings: Handling larger bookings for events, conferences, or weddings. Coordination: Ensuring proper coordination between the group, front desk, and other departments to manage room blocks, special rates, and event-specific requirements.
7. Record Keeping and Reporting:
- Reservation Database: Keeping accurate records of all bookings, guest preferences, and payment details for reference.
- Generating Reports: Preparing daily, weekly, or monthly reports related to reservation statistics such as occupancy, cancellations, and no-shows.
8. Customer Service:
- Guest Interaction: Providing excellent customer service by assisting guests with inquiries, resolving issues, and ensuring their needs are met before and during their stay.
- Special Requests Management: Handling special guest requests, such as dietary preferences, room preferences, and amenities.
