Key Responsibilities:

  • Order Processing:
    Receive and process customer orders, ensuring accuracy in order details, pricing, and delivery requirements. Coordinate with the warehouse and logistics teams to ensure timely dispatch and delivery of goods.

  • Sales Support:
    Provide administrative support to the sales team by preparing reports, updating customer records, and ensuring that all sales-related documentation is accurate and up-to-date.

  • Customer Service:
    Act as a point of contact for customer inquiries, complaints, and requests. Respond promptly and professionally to emails, phone calls, and in-person queries. Resolve issues effectively while maintaining a positive relationship with customers.

  • Sales Reporting & Data Entry:
    Maintain and update sales data in the CRM or ERP systems. Generate regular reports on sales performance, stock levels, and customer feedback for the sales manager and other relevant stakeholders.

  • Inventory Management Support:
    Monitor stock levels and coordinate with the inventory or procurement team to ensure that products are available for sale. Track orders, returns, and exchanges and ensure that stock levels align with sales projections.

  • Documentation and Filing:
    Organize and maintain all sales-related paperwork, including contracts, invoices, purchase orders, and customer correspondence. Ensure all documents are filed accurately for easy access and compliance with company policies.

  • Communication & Coordination:
    Liaise between the sales team, customers, suppliers, and internal departments to ensure smooth communication and efficient execution of orders, promotions, and customer requests.

  • Sales Campaigns and Promotions:
    Assist in organizing and executing sales promotions, marketing campaigns, and special offers. Provide administrative support in creating promotional materials, monitoring performance, and communicating offers to customers.

  • Account Management Support:
    Assist with managing key customer accounts, ensuring that any special requests or orders are handled efficiently. Help maintain long-term relationships with high-value clients by addressing their unique needs and ensuring satisfaction.

  • Follow-up on Sales Leads:
    Track leads generated by the sales team, ensuring timely follow-ups, and updating status in CRM or other sales tracking systems. Assist in converting potential leads into customers by providing the necessary administrative support.

  • Cross-Functional Collaboration:
    Work closely with other departments, including marketing, finance, and logistics, to ensure alignment of sales strategies, customer satisfaction, and efficient operations.
