Job Description

We are looking for a talented and dynamic Sales and Operations Executive (Female) to join our team. If you have a passion for sales, strong operational skills, and the ability to handle multiple tasks efficiently, this role is for you!

Position Overview

A Sales and Operations Executive (Female) is responsible for managing the dual functions of business development (sales) and internal process coordination (operations) to ensure smooth day-to-day functioning of the organization. The role involves handling customer inquiries, supporting sales activities, coordinating with internal teams, managing order processing, and ensuring timely service delivery.

This is a dynamic position that requires excellent communication skills, a customer-focused approach, and strong coordination abilities. The ideal candidate should be proactive, detail-oriented, and able to balance multiple priorities across departments to support business goals.

Key Responsibilities

1. Sales Support and Client Handling

  • Handle inbound inquiries from prospects through calls, emails, website forms, and walk-ins.

  • Follow up with leads, provide product/service information, and convert prospects into customers.

  • Maintain regular contact with clients to provide updates, gather feedback, and identify cross-selling or upselling opportunities.

  • Prepare quotations, proposals, and invoices in coordination with the finance or sales manager.

  • Assist in generating reports related to sales performance, targets, and customer databases.

2. Order Management and Coordination

  • Manage the end-to-end order process—from receipt of order to delivery, including internal communication with logistics, warehouse, or service teams.

  • Ensure timely order fulfillment and address any delays or customer concerns.

  • Coordinate with production, procurement, or third-party vendors to ensure product or service availability.

  • Keep customers informed of the status of their orders and resolve issues efficiently.

3. Operations and Administration

  • Assist in day-to-day operations including scheduling, reporting, follow-ups, and documentation.

  • Maintain accurate records of transactions, customer interactions, order details, and payment follow-ups.

  • Handle administrative tasks such as filing documents, preparing reports, managing databases, and supporting HR or finance teams when required.

  • Ensure compliance with company procedures and operational standards.

4. Communication and Collaboration

  • Serve as a bridge between the sales team and operations team to ensure alignment on orders, timelines, and customer expectations.

  • Collaborate with the marketing team for promotional campaigns, lead generation activities, and customer feedback initiatives.

  • Communicate with customers professionally via phone, email, and in-person interactions.

5. Customer Service and Relationship Management

  • Maintain long-term relationships with existing clients by providing consistent service and post-sale support.

  • Handle customer queries, complaints, and grievances with a positive attitude and timely resolution.

  • Gather client feedback for service or product improvements and share insights with management.

6. Reporting and Documentation

  • Generate daily, weekly, and monthly reports for sales figures, client follow-ups, operational tasks, and pending orders.

  • Maintain a CRM or Excel-based tracker of all ongoing sales and operations activities.

  • Support audit processes by organizing and providing relevant documentation when needed.

  • Communication: Strong verbal and written communication in English and local language(s).

  • Customer Service: Friendly and solution-oriented approach in dealing with clients and resolving queries.

  • Sales Knowledge: Understanding of sales process, customer lifecycle, and lead management.

  • Coordination: Ability to manage cross-functional tasks involving multiple departments.

  • Organization: Good time management and multitasking abilities.

  • Tech-savvy: Proficiency in MS Office (Excel, Word, Outlook), Google Workspace, and basic CRM tools.

  • Attention to Detail: Accuracy in handling documentation, invoices, and customer data.
