Job Description
Position Overview
We are seeking a highly organized, proactive, and customer-focused Sales Coordinator to support our sales and business development team. The Sales Coordinator will act as a bridge between clients, the sales team, and other internal departments to ensure smooth execution of sales operations.
The role involves coordinating sales activities, managing client communications, preparing reports, processing orders, and supporting the team in achieving targets. The ideal candidate should have excellent communication, multitasking, and organizational skills, along with a strong passion for delivering exceptional customer service.
Key Responsibilities
1. Sales Support & Coordination

Assist the sales team in preparing quotations, proposals, and presentations.

Coordinate with customers to understand requirements, share product details, and confirm orders.

Follow up with prospective clients on quotations, proposals, and deals to ensure conversions.

Support the Sales Manager in achieving monthly, quarterly, and annual sales targets.
2. Order Processing & Documentation

Receive, process, and confirm customer purchase orders accurately.

Maintain and update sales orders, invoices, and delivery schedules in the system.

Coordinate with the warehouse, logistics, and production teams to ensure timely order fulfillment.

Ensure accuracy in documentation and maintain records of quotations, contracts, and agreements.
3. Customer Relationship Management

Act as the primary point of contact for client queries, concerns, and complaints.

Build strong relationships with new and existing customers to enhance client satisfaction.

Handle after-sales support, ensuring customers are updated on order status, delivery timelines, and billing details.

Maintain a database of customer contacts, preferences, and feedback to improve service delivery.
4. Coordination with Internal Teams

Collaborate with marketing, logistics, finance, and operations teams for smooth execution of orders.

Share client requirements with relevant departments to ensure alignment on deliverables.

Participate in weekly and monthly meetings to review progress, identify bottlenecks, and discuss solutions.
5. Reporting & Analysis

Prepare daily, weekly, and monthly sales reports, forecasts, and performance metrics.

Track leads, sales pipeline status, and customer conversion ratios using CRM tools.

Provide timely updates to management regarding sales performance, order status, and revenue trends.
6. Sales Strategy & Market Insights

Support the sales team in identifying new business opportunities and potential leads.

Monitor competitor pricing, offers, and product launches to suggest improvements.

Assist the marketing team in creating promotional campaigns, mailers, and marketing materials.

Provide insights from customer feedback to help improve products, services, and sales strategies.
Required Skills & Competencies
1. Technical & Functional Skills

Proficiency in MS Office Suite (Excel, Word, PowerPoint) for reporting and presentations.

Hands-on experience with CRM tools, ERP systems, or order management software is preferred.

Basic understanding of sales processes, lead management, and order lifecycle.
