Job Summary
We are seeking a proactive and organized Sales Coordinator to support our sales team and contribute to our business growth. The Sales Coordinator plays a crucial administrative and operational role by ensuring the sales department runs efficiently. This role bridges the gap between clients, sales representatives, and internal departments by managing communications, handling order processing, maintaining client databases, and preparing regular sales reports.
An ideal candidate should have excellent organizational, communication, and multitasking abilities. They must be able to handle administrative duties independently, work with multiple departments, and contribute actively to the company’s sales and customer service goals.
Key Responsibilities
1. Sales Support & Coordination

Serve as the first point of contact for client inquiries, directing requests to the appropriate salesperson.

Coordinate appointments, meetings, and calls between clients and the sales team.

Monitor and manage sales team schedules, ensuring timely follow-ups and responses.

Maintain clear and regular communication between clients, the sales team, and internal departments.
2. Order Processing & Documentation

Process sales orders accurately and promptly, ensuring that all required information is entered into the system.

Prepare sales quotations, invoices, delivery notes, and other related documents.

Coordinate with inventory, logistics, and dispatch teams to ensure timely delivery of products or services.

Track orders from initiation to fulfillment and update clients on status or delays.
3. Customer Relationship Management

Maintain an updated database of customers, contacts, and sales interactions using CRM tools or Excel.

Keep customer records organized and updated for sales tracking and follow-ups.

Assist with customer service activities, including responding to post-sale queries or complaints and routing them to the concerned department.
4. Sales Reporting & Analysis

Generate daily, weekly, and monthly sales reports, including performance metrics and forecasts.

Track sales targets and achievements and prepare summary reports for the management team.

Analyze customer buying patterns, order volumes, and preferences to support sales strategy planning.
5. Cross-Functional Collaboration

Work closely with marketing to ensure alignment between campaigns and sales activities.

Coordinate with the accounts team for billing, payments, and reconciliation issues.

Liaise with logistics or delivery teams to streamline product dispatch and customer satisfaction.

Participate in internal meetings to update progress, report challenges, and share customer feedback.
Required Skills and Qualifications
Education:

Minimum: Bachelor’s degree in Business Administration, Marketing, Commerce, or a related field.

Preferred: Additional training in sales operations, CRM, or logistics.
Experience:

1–3 years of experience in sales coordination, customer support, or administrative roles.

Experience in using CRM software (e.g., Salesforce, Zoho CRM) or order management systems is a plus.
Technical Skills:

Proficient in MS Office (especially Excel, Word, and PowerPoint)

Comfortable working with CRM tools, ERP systems, or online order platforms

Basic knowledge of inventory and delivery tracking software
Communication & Interpersonal Skills:
