Sales Coordinator
Job Description
>> 1. Customer Communication - Handling the Queries.
>> 2. Sales Team Support - Leads handling and follow up.
>> 3. Analyzing the data provided by the sales team and management.
>> 4. Maintaining and Updating the Customer Relationship Management.
>> 5. Coordinating with the other departments as per the requirement.
Key Responsibilities:
1. Sales Support and Administration
-
Prepare sales quotations, proposals, and product presentations based on client requirements.

Maintain and update customer records, leads, and opportunities in the CRM system.

Assist sales executives and managers with order processing, follow-ups, and coordination.
-
Handle day-to-day correspondence with customers regarding pricing, delivery, and product inquiries.

Generate daily, weekly, and monthly sales reports for management review.
2. Order Coordination
-
Process customer purchase orders and issue internal sales orders.
-
Liaise with production, warehouse, and logistics teams to ensure timely order fulfillment and dispatch.

Track and manage delivery schedules, ensuring customers are kept informed about the status of their orders.

Coordinate order changes, delays, or special requests and communicate them to all stakeholders.
3. Customer Interaction
-
Serve as a point of contact for clients by phone, email, or in person to provide product or service information.

Resolve customer complaints and concerns by coordinating with relevant departments.

Maintain long-term customer relationships by providing timely support and assistance.

Follow up with potential clients on quotations, demos, or product samples.
4. Documentation and Record-Keeping

Maintain and file all sales-related documents, including contracts, invoices, purchase orders, and correspondence.

Ensure documentation accuracy to avoid billing errors or delivery disputes.

Keep detailed logs of interactions, follow-ups, and transactions for transparency and compliance.
5. Sales Team Coordination

Schedule sales meetings, client visits, and internal reviews.

Assist with preparing sales kits, brochures, marketing material, and samples.

Monitor and communicate daily sales targets, achievements, and pending orders to the team.

Coordinate with finance for invoice generation, payment follow-up, and credit approvals.
6. Inventory and Product Knowledge

Maintain awareness of stock availability and coordinate with the warehouse or procurement team.

Stay updated on product specifications, pricing structures, and promotional offers.

Provide accurate and updated product information to clients and the sales team.
7. Reporting and Analysis

Prepare dashboards or Excel reports to analyze sales performance, customer trends, or sales funnels.

Highlight bottlenecks or issues in the order cycle and recommend process improvements.

Track and report key performance indicators (KPIs) such as sales pipeline status, quote-to-conversion ratio, and order cycle time.
