Job Description
Position Summary:
We are looking for a motivated and detail-oriented Sales Coordinator to support the sales team and contribute to the smooth functioning of day-to-day operations. The Sales Coordinator plays a critical role in bridging communication between the sales team, clients, and internal departments. Their primary responsibility is to handle administrative tasks, manage client inquiries, coordinate order processing, follow up with internal teams, and support the sales representatives in achieving their targets.
This position is best suited for someone with strong organizational skills, excellent communication abilities, and a proactive attitude toward multitasking in a dynamic business environment.
Key Responsibilities:
1. Sales Support & Coordination:

Assist the sales team in managing daily operations including processing orders, preparing quotations, and sharing product details.

Coordinate with clients regarding inquiries, requirements, follow-ups, and documentation.

Track and follow up on leads, client queries, and quotations with regular updates to the sales representatives.
2. Order Management:

Enter, verify, and process sales orders accurately into the ERP or CRM system.

Track order status, inventory availability, and delivery timelines by coordinating with the logistics and production teams.

Communicate order confirmations, dispatch details, or delays to the clients and sales team.
3. Client Communication & Service:

Handle basic customer service tasks including sharing order status, resolving queries, and ensuring customer satisfaction.

Maintain regular communication with key accounts and dealers to ensure ongoing engagement.

Build strong client relationships by providing prompt and professional support.
4. Sales Reporting & Documentation:

Prepare and maintain accurate sales reports, order logs, client records, and follow-up sheets.

Assist in preparing monthly, quarterly, and annual sales data for management reviews.

Maintain documentation related to sales targets, payment follow-ups, product pricing, and agreements.
5. Team Collaboration:

Act as a link between the sales team and other departments such as accounts, warehouse, dispatch, and product development.

Follow up with the accounts department on invoices, payment collections, and credit notes.

Help the sales team with materials needed for presentations, meetings, or exhibitions.
6. Inventory & Dispatch Coordination:

Monitor inventory availability and stock movement to ensure timely fulfillment of orders.

Coordinate with the warehouse or logistics team to manage timely dispatch and delivery of products.

Alert the sales and procurement team in case of stock shortages or delays.
7. Administrative & Office Tasks:

Maintain organized files of all correspondence, quotations, and contracts.

Support the team with travel arrangements, meeting schedules, or internal coordination as needed.

Help in organizing events, trade shows, or exhibitions, and coordinating marketing materials.
