Job Description
Key Responsibilities:
1. Quotation Preparation and Submission

Prepare accurate and timely quotations for customer inquiries based on product specifications, pricing, and company policies.

Submit quotations mainly through online channels, including email, company portals, and platforms such as IndiaMART.

Ensure all quotation documents are complete, clear, and compliant with company standards.

Follow up on submitted quotations to answer queries, negotiate terms if necessary, and assist in closing sales.

Maintain records of all submitted quotations and their outcomes for reporting and analysis.
2. Managing IndiaMART and Other Online Enquiries

Monitor and respond promptly to inquiries received through IndiaMART and other online sales portals.

Collect specific and detailed information from potential customers regarding their requirements, budget, timelines, and other relevant details.

Qualify leads by assessing their suitability and readiness to purchase, and forward qualified enquiries to the sales team.

Maintain effective communication with leads, nurturing interest and providing necessary clarifications.

Update inquiry status and customer interactions in the CRM or enquiry management system.
3. Coordination of Dispatch and Backend Operations
-
Coordinate with the logistics and dispatch teams to ensure timely delivery of orders as per customer requirements.

Track dispatch schedules and confirm shipment details to customers proactively.

Resolve any issues related to order fulfillment, delivery delays, or discrepancies by liaising between warehouse, transport, and sales teams.

Assist in preparing dispatch documents such as delivery challans, invoices, and shipping labels.

Maintain communication with customers regarding shipment status and expected delivery dates.
4. Sales Database and Documentation Management

Maintain and update the sales database with customer details, order histories, quotations, and follow-up activities.

Ensure the accuracy and completeness of data to support sales analysis and reporting.

Generate periodic reports on sales inquiries, quotations submitted, order status, and customer feedback.

Assist the sales management in analyzing data to identify trends, challenges, and opportunities for improvement.

Maintain confidentiality of customer and company information in line with organizational policies.
5. Customer Service and Support
-
Provide excellent customer service by addressing routine queries, providing product information, and guiding customers through the sales process.

Handle customer complaints or escalations in a professional manner and escalate complex issues to the appropriate team members.

Follow up with customers post-dispatch to ensure satisfaction and gather feedback.

Assist in organizing promotional campaigns, product launches, and customer engagement activities as required.
6. Cross-Departmental Collaboration

Work closely with the sales team to support their efforts in lead generation, follow-ups, and closing deals.

Liaise with marketing teams to synchronize promotional activities and respond to campaign-generated inquiries.

Coordinate with warehouse and logistics departments to streamline order processing and delivery.

Collaborate with finance teams for order invoicing, payment follow-up, and credit management.
