Job Description

The Sales cum Export Coordinator is responsible for managing both sales and export-related operations to ensure seamless business transactions. The individual will facilitate sales processes, coordinate export documentation, manage logistics, and ensure compliance with international trade regulations. The role requires multitasking, attention to detail, and strong communication skills to bridge between sales teams, customers, and the export department.

Key Responsibilities:Sales Duties:

  • Customer Relationship Management: Maintain relationships with both existing and potential clients, providing product information, answering queries, and addressing concerns.
  • Sales Order Management: Process sales orders, including verifying pricing, inventory, and customer details. Ensure that orders are accurate and complete.
  • Quotation and Invoicing: Prepare and send quotations to customers, negotiate prices, and ensure timely invoicing for sales.
  • Sales Reporting: Monitor and report on sales performance, identifying trends, and providing feedback for improving sales strategies.
  • Collaboration with Sales Team: Work closely with the sales team to meet targets and discuss customer feedback or product improvements.

Export Coordination Duties:

  • Export Documentation: Prepare and manage export-related documents such as invoices, packing lists, certificates of origin, and other regulatory documents required for international shipments.
  • Logistics Management: Coordinate with shipping companies, freight forwarders, and customs brokers to arrange transportation and ensure timely delivery of goods.
  • Regulatory Compliance: Ensure all export activities comply with international laws, tariffs, and import-export regulations of both the home country and the destination country.
  • Tracking Shipments: Monitor the status of orders during shipment and ensure customers are informed of their delivery progress.
  • Inventory Management: Keep track of stock levels and coordinate with production or warehouse teams to ensure product availability for export.
  • Problem Resolution: Address and resolve any export-related issues, including customs clearance problems, shipment delays, or damage claims.

General Responsibilities:

  • Cross-Department Collaboration: Collaborate with procurement, production, and logistics teams to ensure smooth order fulfillment and customer satisfaction.
  • Market Research: Stay updated on market trends, customer preferences, and competitor offerings to better position the company’s products in the market.
  • Customer Communication: Provide timely updates to customers about the status of their orders and shipping, including tracking information and expected delivery dates.
  • Financial Transactions: Work closely with the finance team to ensure that export transactions, payment terms, and invoicing are handled appropriately.

Skills & Qualifications:

  • Educational Qualification: Bachelor’s degree in Business Administration, International Business, Marketing, or a related field.
  • Experience:
  • 2-5 years of experience in sales, export, or a related field.
  • Familiarity with export documentation and customs procedures is a must.
  • Skills:
  • Strong communication and negotiation skills.
  • Proficient in MS Office (Excel, Word, Outlook) and CRM software.
  • Knowledge of export regulations and compliance requirements.
  • Ability to handle multiple tasks and prioritize effectively.
  • Strong attention to detail, with a focus on accuracy.
  • Customer-focused with the ability to solve problems efficiently.
