Job Summary
We are seeking a professional, reliable, and well-organized Secretary to perform a wide range of administrative and clerical tasks to support our management team. The ideal candidate will act as the point of contact between the executives and internal/external stakeholders, managing schedules, organizing meetings, handling communication, and ensuring the efficient functioning of the office.
This position requires excellent organizational and time-management skills, strong verbal and written communication abilities, and a proactive attitude.
Key Responsibilities
1. Administrative Support

Manage daily schedules, calendars, appointments, and meetings for executives or team leaders.

Prepare, format, and manage correspondence such as emails, memos, letters, and reports.

Organize internal meetings and events, including logistics like rooms, refreshments, and documentation.

Maintain filing systems — both electronic and hard copy — in an organized and confidential manner.

Handle day-to-day administrative tasks to ensure the smooth operation of the office.
2. Communication & Coordination

Act as the first point of contact for incoming phone calls, emails, and visitors.

Liaise with clients, vendors, staff, and partners on behalf of the executive or department.

Schedule meetings and follow up on agendas, deadlines, and deliverables.

Relay messages promptly and professionally and ensure timely follow-up on important tasks.
3. Document Handling

Draft letters, agreements, and other official documents under guidance.

Create and edit reports, spreadsheets, presentations, and other documentation.

Manage confidential company documents and sensitive information with discretion.

Prepare meeting minutes and share action items with relevant stakeholders.
4. Office Coordination

Oversee inventory of office supplies and place orders when needed.

Coordinate travel arrangements, including flight bookings, accommodation, and transportation.

Maintain office equipment and coordinate with IT/support staff for repairs and maintenance.

Support HR/admin in maintaining attendance, leave records, or office logs.
5. Executive Assistance (if applicable)

Anticipate the needs of executives and plan ahead to streamline their workload.

Manage personal and professional errands as needed (especially in private offices).

Provide reminders for key deadlines, meetings, or client interactions.
Required Skills

Communication Skills: Excellent verbal and written communication in English (mandatory) and local language.

Time Management: Ability to prioritize tasks, handle pressure, and meet deadlines.

Interpersonal Skills: Friendly, presentable, and confident while interacting with clients or senior staff.

Tech Proficiency: Knowledge of MS Office (Word, Excel, Outlook, PowerPoint), email tools, and office management software.

Confidentiality: High level of integrity and ability to handle confidential information with discretion.

Organization: Detail-oriented with excellent planning, scheduling, and record-keeping skills.
