Job Description
• Proficient in e-Procure Portals.
Key Responsibilities:
1. Tender Identification & Assessment:
-
Monitor and identify potential tenders through government websites, online portals (e.g., GeM, CPP, E-procurement), newspapers, and tender aggregators.

Assess tender requirements, eligibility criteria, scope of work, and feasibility in coordination with management.
-
Filter tenders based on strategic alignment, resource capability, and profitability.
2. Tender Documentation & Preparation:
-
Prepare and compile pre-qualification documents, technical bids, and commercial proposals.

Coordinate with technical teams to prepare project-specific documentation such as work plans, methodology, and product specifications.

Ensure that all bid documents are complete, accurate, and submitted within stipulated deadlines.

Maintain version control and documentation logs for audit and tracking purposes.
3. Pricing and Commercial Proposals:

Work with the finance and procurement teams to formulate competitive pricing structures.

Prepare cost sheets, BOQs, and detailed price breakdowns based on tender requirements.

Ensure proper application of taxes, duties, and statutory compliances in pricing.
4. Coordination and Stakeholder Management:

Liaise with internal departments (technical, legal, operations, etc.) for inputs and approvals.

Collaborate with external vendors, consultants, or partners for documentation or joint bidding arrangements (if applicable).

Act as the main point of contact for any clarifications, amendments, or pre-bid queries.
5. E-Tendering and Portal Management:

Handle online submission of tenders through e-portals like CPPP, GeM, MSTC, eProc, or client-specific portals.

Upload all required documents in the correct format and sequence; ensure digital signatures are applied correctly.

Stay updated with portal rules, registration requirements, and compliance updates.
6. Tender Compliance and Legal Review:

Ensure adherence to legal, technical, and financial compliance requirements outlined in the tender.

Cross-check eligibility criteria such as certifications, financial turnover, experience, etc.

Coordinate with legal advisors for contract terms, performance guarantees, and risk clauses.
7. Reporting & Documentation:

Maintain a comprehensive tender tracker for submitted, won, lost, and upcoming tenders.

Analyze tender outcomes and generate reports for management review.

Archive all tender-related documents systematically for future reference or audits.
8. Process Improvement:

Suggest and implement improvements in the tendering process, template standardization, and document control.

Keep up-to-date with industry trends, pricing norms, and competitor strategies.
