Job Description

A Service Advisor acts as the bridge between customers and the service department of an automotive dealership, workshop, or service center. This role involves understanding customer concerns, accurately diagnosing service needs in consultation with technicians, and ensuring timely completion of vehicle maintenance or repairs. A Service Advisor not only facilitates smooth operations but also builds trust and long-term relationships with customers by providing professional, transparent, and courteous service.

This position is ideal for individuals who have strong interpersonal skills, technical understanding of automobiles, and the ability to multitask in a fast-paced environment.

Key Responsibilities

  1. Customer Interaction & Service Intake

    • Greet customers professionally and understand their vehicle concerns.

    • Listen carefully to customer complaints and record service requests.

    • Provide clear explanations of services, repairs, and maintenance requirements.

    • Create detailed job cards/work orders with accurate information.

  2. Vehicle Inspection & Diagnosis Support

    • Conduct a preliminary inspection of vehicles to note visible issues.

    • Coordinate with technicians to identify underlying problems.

    • Communicate findings to customers in a clear, easy-to-understand manner.

  3. Service Scheduling & Coordination

    • Schedule appointments for routine servicing, repairs, and urgent breakdowns.

    • Allocate jobs to technicians based on workload and expertise.

    • Track progress of vehicles under service and ensure timelines are met.

  4. Cost Estimation & Approvals

    • Provide customers with cost estimates for service/repairs.

    • Obtain approval for additional work identified during inspection.

    • Explain warranty coverage and recommend preventive maintenance.

  5. Customer Communication & Updates

    • Keep customers updated on the progress of their vehicle service.

    • Inform customers of delays, additional repairs, or spare part requirements.

    • Ensure customers are satisfied before delivering vehicles.

  6. Service Delivery & Feedback

    • Conduct a final quality check before handing over the vehicle.

    • Explain the services performed, parts replaced, and billing details.

    • Collect customer feedback to assess satisfaction and suggest improvements.

  7. Documentation & Reporting

    • Maintain accurate records of service requests, job cards, and invoices.

    • Ensure proper documentation for warranty claims.

    • Prepare daily/weekly service reports for management.
