Key Responsibilities:
1. Customer Reception & Communication

Greet customers as they arrive at the service center or workshop.

Listen to customer concerns and understand the reason for their visit (e.g., routine service, breakdown, or repair).

Clearly explain service offerings, warranty terms, or repair recommendations in non-technical language.

Establish a professional relationship and instill trust with each customer interaction.
2. Job Card Preparation & Service Booking
-
Create detailed job cards with customer complaints, service instructions, and vehicle history.

Book appointments and coordinate vehicle intake in accordance with workshop availability.

Ensure accurate documentation of vehicle condition, mileage, VIN/chassis number, and existing damages at the time of check-in.

Obtain customer authorization for job scope and estimated cost.
3. Service Coordination & Workshop Interface

Act as a liaison between customers and the service/workshop team.

Communicate customer instructions, prioritize jobs, and monitor progress through the service lifecycle.

Coordinate with technicians for diagnosis updates, work status, and delivery estimates.
-
Ensure that all necessary spare parts and consumables are arranged in time for scheduled jobs.
4. Cost Estimation & Billing
-
Prepare accurate service estimates and seek customer approval for additional jobs or charges.

Explain the invoice at the time of delivery, breaking down parts, labor, taxes, and discounts (if any).

Reconcile job cards, bills, and service reports before finalizing.

Handle basic financial transactions such as billing, payment collection, and refund processing.
5. Customer Updates & Follow-Ups

Keep customers informed about service progress via phone, SMS, WhatsApp, or email.

Inform them of any delays, cost changes, or new findings requiring approval.

Schedule post-service follow-up calls to ensure customer satisfaction and gather feedback.

Encourage customers to book next service appointments and promote preventive maintenance.
6. Documentation & Record Keeping

Maintain organized records of all service bookings, job cards, invoices, warranties, and customer feedback.

Input service data into CRM or DMS (Dealer Management System) platforms.

Ensure compliance with manufacturer guidelines, warranty protocols, and internal SOPs.
7. Handling Complaints and Escalations
-
Address any dissatisfaction or concerns raised by customers promptly and professionally.

Coordinate with internal teams to resolve issues and prevent recurrence.
-
Escalate unresolved complaints to the Service Manager with full background and communication logs.
8. Promotion of Services and AMC Plans
-
Upsell value-added services like polishing, wheel alignment, AC cleaning, etc.
-
Promote annual maintenance contracts (AMC), extended warranties, service packages, and accessories.
-
Assist in meeting monthly service revenue and customer satisfaction targets.
