Job Description

A Service Executive is responsible for ensuring smooth operations, customer satisfaction, and effective support within specific organizational departments. In this context, the Service Executive works in IMT (Internal Management Team), DOCK (Operations/Logistics), and IB (Incoming/Inbound Services), playing a key role in coordinating departmental activities, resolving client and operational issues, and maintaining high service standards.

The role of a Service Executive is critical in ensuring that departmental processes run efficiently, communications are seamless, and stakeholders, both internal and external, receive timely support. This position requires excellent communication, organizational, and problem-solving skills, along with a proactive approach to managing departmental responsibilities.

Key Responsibilities

  1. IMT (Internal Management Team) Responsibilities

    • Supporting internal departmental operations and assisting management in daily tasks.

    • Coordinating interdepartmental communications to ensure smooth workflow.

    • Maintaining internal records, documentation, and reports for managerial review.

    • Assisting in scheduling meetings, preparing presentations, and tracking departmental KPIs.

  2. DOCK (Operations/Logistics) Responsibilities

    • Monitoring the movement of goods, shipments, and materials within operational pipelines.

    • Coordinating with vendors, suppliers, and internal teams for timely dispatch and receipt of items.

    • Tracking operational metrics such as inventory levels, deliveries, and timelines.

    • Ensuring compliance with operational procedures, safety standards, and documentation requirements.

    • Assisting in resolving operational issues such as delays, discrepancies, or shortages.

  3. IB (Incoming/Inbound Services) Responsibilities

    • Handling incoming client requests, inquiries, or orders efficiently and professionally.

    • Logging incoming data, requests, or complaints into the system accurately.

    • Coordinating with relevant teams to ensure timely response and resolution.

    • Preparing reports on incoming workflows and service metrics for review by supervisors.

  4. Customer Interaction

    • Responding to client or internal stakeholder queries promptly and courteously.

    • Resolving issues in coordination with the concerned departments.

    • Maintaining a high level of professionalism and ensuring customer satisfaction at all times.

  5. Documentation and Reporting

    • Preparing daily, weekly, and monthly reports on departmental activities, service performance, and operational efficiency.

    • Maintaining records of shipments, customer requests, complaints, and resolutions.

    • Ensuring that all reports and records are accurate, up-to-date, and readily accessible for review.

  6. Team Coordination

    • Assisting team members in achieving departmental targets and KPIs.

    • Participating in team meetings to discuss workflow improvements, issues, and departmental updates.

    • Acting as a liaison between departments to ensure seamless coordination.

  7. Process Improvement

    • Identifying bottlenecks or inefficiencies in departmental operations.

    • Suggesting and implementing improvements in workflow, communication, and service delivery.

    • Monitoring the effectiveness of new processes and recommending adjustments as needed.

  8. Compliance and Standards

    • Ensuring that departmental procedures comply with company policies, legal regulations, and quality standards.

    • Following guidelines for record-keeping, reporting, and customer interaction.

    • Maintaining confidentiality of sensitive information within the departments.
