Job Description

Job Summary: We are seeking a highly organized and detail-oriented Site Coordinator/Reporting Officer to maintain site supervisors' daily reports, utilize MS Excel skills, and possess excellent communication skills.

Key Duties:
1. Maintain site supervisors' daily reports
2. Utilize MS Excel (Pivot Tables & V-Lookups) for data analysis and reporting
3. Liaise with site supervisors and management for seamless communication

Job Requirements:
1. *Experience*: 1-2 years of experience in a similar role, with expertise in MS Excel, particularly in Pivot Tables and V-Lookups.
2. *Salary*: ₹15,000 - ₹20,000 per month
3. *Gender*: Male or Female
4. *Notice Period*: 1 week
5. *Work Location*: Kumalankuttai, Erode

Key Responsibilities

Daily Report Management:

  1. Supervising Daily Reports:

    • Collect, organize, and maintain daily reports submitted by site supervisors.

    • Ensure that all daily activities, including work progress, labor, equipment usage, materials, safety incidents, and other site activities, are accurately recorded.

    • Review the reports for completeness and accuracy, flagging any discrepancies or missing information.

  2. Report Generation & Analysis:

    • Prepare and generate daily, weekly, and monthly progress reports based on the data provided by site supervisors.

    • Analyze trends and performance indicators to identify potential issues or areas of concern on the site.

    • Share timely updates with the project manager or relevant stakeholders, highlighting key developments or challenges.

Data Entry & MS Excel Utilization:

  1. Data Entry & Tracking:

    • Enter data from daily site reports into MS Excel spreadsheets, ensuring that all information is correctly categorized (e.g., materials, workforce, safety, etc.).

    • Create and maintain detailed tracking systems in Excel to monitor ongoing site activities, materials usage, and labor allocation.

  2. Excel Reporting:

    • Develop and maintain Excel templates to streamline report creation, ensuring consistency and ease of use.

    • Use Excel functions (e.g., VLOOKUP, pivot tables, graphs, and charts) to analyze site performance data, track KPIs, and provide visual representations for management.

  3. Documentation & Record Keeping:

    • Maintain accurate, up-to-date records of site activities, project timelines, and any changes or delays.

    • Organize and store site reports and documentation systematically for easy access and reference.

Communication & Coordination:

  1. Liaising with Site Supervisors:

    • Coordinate with site supervisors to ensure timely submission of daily reports and provide any clarifications or support they need.

    • Address any discrepancies or issues found in reports and ensure that they are corrected promptly.

  2. Internal Communication:

    • Communicate daily or weekly progress updates to management, project teams, and other stakeholders.

    • Assist in organizing meetings or calls to discuss site progress, challenges, and solutions.

    • Ensure that all team members are aligned and informed about project requirements and timelines.

  3. Problem Resolution:

    • Act as a point of contact for resolving minor issues between site supervisors and the management team.

    • Escalate unresolved issues to the appropriate parties for further action or intervention.

General Administrative Support:

  1. Schedule & Workflow Coordination:

    • Assist in coordinating the daily activities and schedules of the site teams, ensuring that resources are available as needed.

    • Support site supervisors and other team members by facilitating smooth operational workflows.

  2. Compliance & Safety Monitoring:

    • Ensure that safety regulations and site protocols are adhered to in the daily reports.

    • Monitor compliance with environmental and safety standards as per the project requirements.
