Job Description
Conduct physical audits of spare parts inventory regularly.
Compare physical stock with system records (ERP/Inventory Management System).
Identify, document, and report inventory discrepancies or damages.
Coordinate with storekeepers and warehouse personnel for stock verification.
Ensure that all spare parts are properly labeled, stored, and tracked.
Assist in developing and enforcing standard operating procedures for inventory control.
Prepare detailed audit reports and recommend corrective actions.
Support compliance with safety, quality, and regulatory standards related to spare parts handling.
Key Responsibilities:
1. Inventory Auditing and Verification:

Conduct periodic physical inventory counts of spare parts across storage locations.

Compare physical stock with digital records maintained in inventory management systems or ERP software.

Investigate and document any discrepancies between physical and recorded inventory.

Reconcile differences by identifying causes such as mislabeling, theft, system errors, or misplacement.
2. System Accuracy and Data Validation:

Review and validate stock entries, issue notes, receipts, and returns in the inventory system.

Ensure proper classification and coding of spare parts in line with company policies.

Coordinate with the warehouse, procurement, and maintenance teams to update inventory records promptly and accurately.

Maintain documentation for audits, including reports, count sheets, and discrepancy logs.
3. Compliance and Internal Controls:

Ensure that spare parts management complies with internal control procedures and external audit requirements.

Recommend improvements in stock handling, labeling, issuing, and receiving practices.

Check for expired, obsolete, or non-moving items and suggest actions such as disposal, return, or reclassification.

Assist in implementing inventory control measures such as cycle counting, barcode tracking, and stock location mapping.
4. Reporting and Documentation:

Prepare detailed audit reports on stock accuracy, valuation, losses, and recommendations for improvements.

Maintain organized records of all audit activities and submit findings to the Inventory Manager or Audit Supervisor.

Track inventory performance metrics such as stock accuracy rate, audit discrepancy percentage, and audit completion time.

Assist in annual or bi-annual internal and external audits by providing inventory data and documentation.
5. Coordination and Communication:

Work closely with stores, warehouse, supply chain, and maintenance personnel to ensure audit readiness.

Train warehouse staff on inventory best practices and documentation requirements.

Communicate audit findings, risks, and proposed corrective actions with relevant stakeholders.

Coordinate follow-up audits to verify that corrective measures have been successfully implemented.
6. Loss Prevention and Process Improvement:

Identify root causes of inventory discrepancies and suggest preventive solutions.

Recommend changes in inventory management procedures to enhance accuracy and efficiency.

Support the implementation of software systems and digital tools that improve inventory control.

Monitor trends in stock issues, consumption, and returns to highlight inefficiencies or potential fraud.
