Job Title: Store Keeper
Job Summary:
The Store Keeper is responsible for managing the inventory of a store or warehouse efficiently and systematically. This role ensures that all stock levels are maintained accurately and supplies are received, stored, and issued in a timely and organized manner. A Store Keeper plays a vital role in maintaining the flow of goods in and out of the storage area, supporting procurement and production teams, and ensuring compliance with inventory management policies and procedures.
Key Responsibilities:

Inventory Management:

Maintain accurate inventory records using manual logs and/or inventory management software.

Conduct regular physical counts of stock and reconcile discrepancies between physical stock and records.

Monitor stock levels and forecast supply and demand to prevent overstocking and running out-of-stock.

Generate stock reports for management to facilitate planning and budgeting.

Receiving and Inspection:

Receive incoming materials, supplies, or equipment and check them against purchase orders and delivery notes.

Inspect items for damage, defects, or inconsistencies with order specifications.

Report any discrepancies or damages to the purchasing department and follow up on replacements or credits.

Label and categorize items appropriately for storage.

Storage and Organization:

Store materials in designated locations in a neat and orderly manner to allow for easy retrieval and identification.

Ensure storage areas are clean, safe, and organized at all times.

Use proper methods for handling, storing, and rotating stock (FIFO – First In First Out, or LIFO – Last In First Out, depending on policy).

Implement labeling systems and barcoding where applicable for efficient tracking.

Issuance of Stock:

Issue materials and supplies to departments or individuals as per approved requisitions.

Record all issued stock accurately in the inventory system.

Monitor and control the flow of materials to avoid pilferage, loss, or misuse.

Procurement Coordination:

Work closely with the procurement team to communicate inventory needs and reorder levels.

Assist in preparing purchase requisitions for needed supplies.

Ensure timely replenishment of stock to avoid disruption in production or daily operations.

Documentation and Record Keeping:

Maintain comprehensive records of all receipts, issues, transfers, returns, and adjustments.

Ensure documents are properly filed and easily retrievable for audits or reports.

Update stock records daily and ensure data integrity.

Compliance and Safety:

Ensure adherence to company policies, safety standards, and statutory regulations.

Maintain Material Safety Data Sheets (MSDS) where applicable, particularly for chemicals or hazardous materials.

Follow proper safety procedures for handling, storing, and disposing of materials.

Team Collaboration:

Coordinate with other departments such as finance, procurement, and production for efficient stock management.

Support team members by providing relevant inventory data and assistance in stock-related tasks.

Train junior store staff or assistants in inventory control procedures and software use.

Audit and Reporting:

Assist in internal and external audits by providing accurate stock records and documentation.

Prepare periodic reports such as inventory aging, fast/slow-moving items, and stock valuation.

Identify and report obsolete, expired, or surplus items.

Skills and Competencies:

Strong organizational and record-keeping skills.

Attention to detail and accuracy in data entry.

Knowledge of inventory software and database management (e.g., SAP, Tally, Microsoft Excel).

Good communication and interpersonal skills.

Ability to multitask and manage time effectively.

Basic understanding of procurement and supply chain principles.

Familiarity with safety and storage regulations, especially for sensitive or hazardous goods.
Qualifications and Experience:

A high school diploma or equivalent; a diploma or degree in logistics, supply chain management, or business administration is preferred.

Certification in inventory or warehouse management is an advantage.

Hands-on experience with inventory systems and stock management tools.
Working Conditions:

Typically works in a warehouse, storeroom, or stockroom setting.
