Job Description
Key Responsibilities:
1. Front Office / Reception Duties:

Greet and assist students, parents, walk-in visitors, and faculty in a professional and courteous manner.

Answer incoming calls, respond to emails, and manage WhatsApp or chatbot inquiries.

Maintain the cleanliness and organization of the reception and waiting area.

Maintain a visitor logbook and issue visitor passes, if applicable.
2. Student Counseling and Course Guidance:
-
Interact with prospective students and provide accurate information about available courses, admission criteria, fee structures, and career prospects.

Understand the academic interests and goals of students and counsel them accordingly.

Conduct one-on-one or group counseling sessions to guide students on course selection and enrollment process.

Follow up with leads generated from walk-ins, website inquiries, social media, and references.
3. Admission Coordination:
-
Assist students throughout the admission process, including application form filling, document verification, and fee collection.

Maintain and update student databases and ensure accurate record-keeping.

Coordinate with academic or admission teams for scheduling assessments, interviews, or demo classes.

Support in onboarding new students and explain orientation or induction processes.
4. Communication and Follow-up:
-
Follow up with prospective students and parents via phone, SMS, WhatsApp, and email to convert inquiries into enrollments.

Handle objections or concerns from students/parents and provide suitable resolutions.

Maintain regular communication with enrolled students to ensure continued engagement.
5. Administrative Support:
-
Maintain daily inquiry reports, student walk-in data, counseling conversion records, and registration lists.

Handle petty cash (if required) and maintain receipts for course fee payments or registration charges.

Assist in organizing student events, seminars, open houses, and counseling drives.

Coordinate with vendors or housekeeping staff to ensure smooth office operations.
6. CRM / Software Data Entry:

Enter and manage leads, counseling notes, and follow-ups in CRM systems or Excel databases.

Generate reports on inquiry conversion rates, follow-up status, and counseling effectiveness.

Ensure the confidentiality and security of student data and personal information.
7. Institutional Branding and Support:

Represent the institution in a professional and friendly manner.

Maintain knowledge about all current courses, certifications, and curriculum updates.

Provide support in marketing activities such as distributing flyers, handling social media queries, or assisting with campaign execution.
