Job Description
Key Responsibilities:
1. Tender Identification and Tracking:
-
Monitor tender notices and Request for Proposal (RFP)/Request for Quotation (RFQ) invitations from government departments, PSUs, private clients, and industry platforms.
-
Regularly review procurement portals such as GEM (Government e-Marketplace), CPPP (Central Public Procurement Portal), state government e-portals, and other relevant sources.

Maintain a database of relevant tenders and track deadlines, submission status, and award results.
2. Tender Documentation and Compliance:
-
Collect and analyze tender documents to understand eligibility criteria, technical specifications, and submission requirements.
-
Coordinate with the sales, technical, legal, and finance teams to compile all required documents such as certifications, financials, legal declarations, and technical write-ups.

Prepare pre-qualification documents, vendor registrations, and compliance checklists.

Ensure that all submissions are accurate, complete, and adhere strictly to tender terms and conditions.
3. Bid Preparation and Submission:

Draft and format technical and commercial bid proposals in line with client specifications.

Upload documents and submit bids on e-tendering portals or physically as per client instructions.

Ensure timely submission of bids and follow-up on acknowledgment or tender opening notifications.

Maintain confidentiality and integrity of pricing and strategy documents.
4. Coordination and Communication:
-
Liaise with clients, procurement officials, and internal stakeholders to gather clarifications and information.

Attend pre-bid meetings and brief relevant departments on tender requirements and changes.
-
Act as a point of contact for all tender-related communications, addendums, and responses.

Coordinate with third-party agencies or consultants for certifications, notarizations, or documentation support.
5. Record Keeping and Reporting:
-
Maintain detailed records of all tenders submitted, including versions, deadlines, amendments, and results.

Prepare tender status reports for senior management, highlighting pending submissions, won/lost bids, and evaluation feedback.

Archive documents and maintain tender and bid data in shared folders or CRM systems for future reference.
6. Post-Tender Activities:
-
Follow up with clients or procurement authorities regarding tender results and contract award status.

Assist in preparing documents for contract signing and onboarding if the bid is successful.
-
Support transition of awarded projects to execution teams by sharing contract scope, timelines, and documentation.
7. Process Improvement and Knowledge Management:
-
Review past bids and conduct post-mortem analysis on lost opportunities to identify areas for improvement.

Contribute to creating templates, standard responses, case studies, and FAQs for faster bid turnaround.

Stay updated on changes in procurement rules, bidding practices, and government tender norms.
