Job Summary:

We are seeking a proactive and detail-oriented Transportation Coordinator to manage and oversee the daily operations of our transportation and logistics department. This role is primarily based in the office, with occasional field responsibilities including site visits to client locations, customs clearance areas, seaports, and airports.

The ideal candidate will be responsible for coordinating with vendors, vehicle owners, and drivers to ensure timely and efficient delivery of goods and materials. The Transportation Coordinator will also be expected to work closely with customs clearance agents and logistics support staff, managing end-to-end delivery processes and maintaining compliance with all relevant transportation and import/export regulations.

This is a crucial role that supports the company’s operational goals by ensuring that logistics and transportation activities run smoothly, safely, and cost-effectively.

Key Responsibilities:

1. Transportation Coordination:

• Coordinate the daily movement of goods and materials across various locations via road, air, and sea.

• Plan, schedule, and assign transportation routes and delivery timelines in line with client requirements and company standards.

• Monitor and track shipments using transportation software or manual logs and provide regular updates to stakeholders.

• Ensure proper dispatch of vehicles and track return status for efficient utilization.

2. Vendor and Driver Management:

• Serve as the primary point of contact for transportation vendors, vehicle owners, and contracted drivers.

• Liaise with third-party logistics (3PL) providers to negotiate transport costs, delivery times, and service agreements.

• Maintain an updated database of reliable and qualified vehicle owners and drivers.

• Ensure all transport partners comply with safety regulations, documentation requirements, and delivery standards.

3. Customs Clearance Coordination:

• Coordinate with customs clearance agents at both airports and seaports to facilitate timely import and export operations.

• Prepare and verify the necessary shipping and customs documents such as bills of lading, invoices, and packing lists.

• Ensure that goods are cleared in accordance with the law and meet all regulatory compliance requirements.

• Follow up with agents and customs officials to track the clearance process and troubleshoot any delays or documentation issues.

4. Client Support and Interaction:

• Occasionally visit valued clients’ sites to oversee delivery operations or address concerns related to logistics and transportation.

• Ensure professional and timely communication with clients regarding delivery schedules, shipment delays, or changes in transportation plans.

• Work with account managers and customer service teams to ensure client satisfaction throughout the delivery process.

5. Documentation and Reporting:

• Maintain detailed records of all transport and clearance activities, vehicle logs, fuel usage, maintenance schedules, and delivery confirmations.

• Prepare regular reports on transportation efficiency, costs, and delays for internal review and performance improvement.

• Support finance and accounting teams with documentation for invoicing and payments related to transportation vendors and customs agents.

6. Compliance and Safety:

• Ensure that all transportation operations comply with government regulations, industry standards, and company policies.

• Monitor vehicle compliance with permits, insurance, roadworthiness certificates, and other regulatory requirements.

• Promote and enforce safety standards for both in-office staff and field personnel, including drivers and loaders.

• Strong communication and interpersonal skills to coordinate effectively with various internal and external stakeholders.

• Ability to multitask and prioritize in a fast-paced, deadline-driven environment.

• Good problem-solving skills to quickly address delivery issues, vendor disputes, or customs-related complications.

• Basic financial acumen for cost analysis, budgeting transport expenses, and negotiating contracts.
