Job Description
Job Summary:
We are seeking a motivated, student-centric, and knowledgeable Academic Counsellor to guide and support prospective and current students through their educational journey. The ideal candidate will assist students in choosing suitable courses, understanding academic requirements, planning their career paths, and resolving queries related to admissions, curriculum, or institutional policies.
This role combines the functions of student advising, admissions counselling, and customer relationship management. Academic Counsellors play a vital role in helping students make informed decisions, achieve their academic goals, and feel supported throughout their enrollment lifecycle.
Key Responsibilities:
1. Student Counselling and Guidance

Interact with students and parents through phone calls, in-person meetings, video conferencing, and emails to understand their academic needs and aspirations.

Provide one-on-one counselling sessions to guide students in selecting appropriate programs based on their interests, qualifications, and career goals.

Explain details about courses, curriculums, admission processes, entrance tests, fee structures, scholarships, and timelines.

Assist students in comparing course options, understanding career outcomes, and addressing concerns regarding academic life.
2. Admission & Enrollment Support

Guide prospective students through the full admission process—from inquiry to application to enrollment.

Maintain regular follow-up with leads to ensure conversion of inquiries into enrollments.

Collect and verify documents for admission, maintain accurate student records, and assist with form filling and payment processing.

Coordinate with internal departments (admissions, academics, finance) to ensure a seamless onboarding experience.
3. CRM & Database Management

Maintain accurate and updated records of inquiries, leads, and student conversations using CRM software (e.g., Salesforce, Zoho CRM, LeadSquared).

Track inquiry-to-admission conversion rates and prepare reports on counselling outcomes and student feedback.

Classify and prioritize leads based on urgency and potential, and plan follow-ups accordingly.
4. Academic Planning and Retention

Support enrolled students by offering academic advice related to scheduling, exams, performance issues, course changes, and re-registration.

Identify students at risk of dropping out and proactively engage them to understand issues and offer solutions.

Collaborate with faculty and program coordinators to support students with academic concerns or conflicts.
5. Event Participation & Outreach

Participate in education fairs, seminars, webinars, workshops, open houses, and orientation sessions.

Deliver presentations to students, parents, and school counselors on course offerings, career options, and admission procedures.

Build strong relationships with local schools, colleges, and community partners for referrals and outreach.
6. Feedback & Reporting

Collect feedback from students and parents to assess the effectiveness of counselling services.

Share insights with marketing and academic teams to improve programs and student experience.

Submit regular reports on inquiry volume, student conversion, academic support outcomes, and other KPIs to management.
