Job Summary:
The Accounting Associate plays a fundamental role in the financial operations of an organization by performing a variety of accounting and administrative tasks. This role supports the accounting team in maintaining accurate financial records, preparing reports, reconciling accounts, processing transactions, and ensuring compliance with financial regulations and internal policies.
An ideal candidate for this position is detail-oriented, organized, and has a strong understanding of accounting principles and practices. The Accounting Associate works closely with other departments to ensure timely and accurate financial processing and reporting, contributing to the overall financial health and accountability of the organization.
Key Responsibilities:
1. Accounts Payable and Receivable:

Process vendor invoices, verify accuracy, obtain proper approvals, and prepare payments.

Record accounts payable transactions in the accounting system and maintain up-to-date vendor records.

Generate customer invoices and track receivables to ensure timely collections.

Follow up with clients for outstanding payments and resolve billing discrepancies.
2. General Ledger and Journal Entries:

Prepare and post journal entries for routine transactions such as accruals, prepayments, and adjustments.

Maintain and reconcile general ledger accounts on a regular basis.

Assist with month-end and year-end closing procedures to ensure accurate financial reporting.

Support the preparation of trial balances and other financial reports.
3. Bank and Account Reconciliations:

Reconcile bank statements with internal records to identify and resolve discrepancies.

Reconcile credit card statements, petty cash, and inter-company transactions.

Investigate and correct errors or inconsistencies in financial documents.
4. Financial Reporting and Documentation:

Assist in the preparation of monthly, quarterly, and annual financial reports.

Maintain organized and up-to-date financial files and documentation for audits and internal reviews.

Help compile data for tax filings, regulatory submissions, or grant compliance reporting.
5. Expense Management and Budget Support:

Process employee expense reports and ensure compliance with company policies.

Track expenditures and support budgeting activities as requested by finance management.

Analyze variances between actual and budgeted figures and report findings.
6. Compliance and Internal Controls:

Ensure that all accounting practices are compliant with company policies, GAAP, and applicable regulations.

Assist with the implementation and monitoring of internal controls to safeguard company assets.

Prepare documentation for audits and respond to audit requests in a timely manner.
