The Actualization Analyst is responsible for timely and accurate recording of volumetric truck and bulk product inventory movements. This includes pipeline, refineries, airports, marine, 3rd party terminals, 3rd party tank farms and title transfer (zero inventory) plant locations. This position requires the postholder to work closely with a variety of teams - both internal and external - to ensure the timely and accurate recording of information. The Actualization Analyst also serves as a key point of contact for identifying and communicating issues related to inventory, contracts, scheduling, system discrepancies and customer invoice disputes.
Key accountabilities:
- Ensure that all sales and purchases are entered timely and accurately; process the actualization of bulk movements for areas including pipelines, marine, railcar modes of transport
- Manage movements in SAP in a manner that is proactive, timely and accurate
- Understand the transactional logic of the different systems in place, execute applicable system processes and resolve related discrepancies
- Work with support teams and schedulers to ensure that all movements are correctly scheduled and expeditiously actualized; address data issues impacting the actualization process
- Monitor and report actualization errors on a daily basis; work to identify root cause(s) for actualization delays to minimize the number of days to actualize
- Work with product movement administrators on the actualization of moves to proprietary terminals
- Assist in identifying outstanding reconciling issues as identified by Inventory and other teams.
- Address transactional data issues in SAP with schedulers, traders, settlements, contracts, Pipelines BU, and external business partners to minimize customer invoice disputes and achieve invoice accuracy targets
- Assist SOX Control Evaluation Templates (CETs) as related to the Transaction Control area, documentation and testing.
- Work with master data representatives on contract discrepancies
- Identify needed efficiency and process improvements, including but not limited to increased reliance on automation
- Ensure accuracy and completion of desk procedures to streamline daily activity
- Verify that all bulk movements are posted for month-end reconciliation
Essential education and experience:
- Bachelors degree in business or related field.
- Working knowledge of financial accounting and/or control principles
- Advanced knowledge of Microsoft applications (MS) Excel and Access
Desirable criteria:
- One year of relevant experience in Marketing, Supply, Logistics or Commercial Services support roles
- Operational understanding of inventory movements
- Prior experience with supply activity
- Knowledge and experience with OPDS2 and/or Next Gen Deal Entry systems
- Candidates with SAP skills specific to sales order processing, invoicing and material movements; knowledge and experience with other planning/tracking systems
- Ability to work independently - with minimal direction to deliver outstanding results
- Good interpersonal and communication skills with different levels of management and numerous internal and external customers and stakeholders
- Demonstrated ability to multi-task timely and accurately; manage multiple competing priorities; work well under the demands of constant deadlines
