Job Summary
The ideal candidate will be responsible for various tasks related to business operations. They will manage communication and administrative work. Additionally, this individual will organize reports and documents to ensure smooth office management.
Roles and Responsibilities
Creating and updating spreadsheets of daily transactions
Assist Senior Management in their day to day tasks to effectively manage business operations
Managing accounts receivable and payable
Process sales invoices
Administer day-to-day finances
Update internal systems with financial data
Administer payment of bills, invoices and staff and volunteer expense claims
Strong administration & financial background
Maintain financial files and records
Maintain the assets register
Responsible for maintenance, mailing, shipping, supplies, equipment, bills and errands
Respond to general telephone, email and fax enquiries.
Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time
Maintain calendars
Organize documents, reports and manage minutes of the meeting.
Participate actively in the planning and execution of company events
Full management of senior management correspondence; liaising with relevant stakeholders whenever required
Manage weekly update meetings and discussion with senior management.
Infrastructure Management
Monitor and maintain office supplies inventory
General office management stationery, supplies, provisions
Ensuring that basic facilities of the organization are well maintained
Managing budgets and ensuring cost-effectiveness
Advising businesses on increasing energy efficiency and cost-effectiveness
Overseeing renovations or refurbishments and vendor management
Other admin and operations activities
Required Experience, Skills and Qualifications
1 to 2 years of experience
Bachelor Degree (any field)
Good understanding of bookkeeping procedures
Enthusiastic and engaging
Able to present well and act professionally
Experience in an administrative role
Strong written and verbal communication skills
Ability to work in high intensity, fast-paced environment
Team working ability
