Job Description
Job Summary:
We are looking for a diligent and proactive Administration Executive to support our field office operations in Bangalore, primarily working with Central Government departments. The ideal candidate will be responsible for handling day-to-day administrative tasks, coordinating with project teams, managing procurement and purchase activities, and performing accurate data entry tasks.
This role requires good communication skills, organizational abilities, and a willingness to visit various project sites or government offices as part of coordination duties. Key Responsibilities:
1. Field Office Visits & Coordination

Regularly visit the Central Government department offices and other field sites in Bangalore as required

Liaise with project managers, department officials, and vendors for smooth administration and project coordination

Represent the company/organization professionally during meetings or inspections at government offices
-
Report back on site visits and ensure timely follow-up on pending actions or requirements
2. Administrative Support

Manage daily office operations including maintaining records, documentation, and files
-
Assist in scheduling meetings, preparing agendas, and taking minutes
-
Maintain correspondence and communication with internal teams and external stakeholders
-
Coordinate travel arrangements, appointments, and office logistics as needed
3. Procurement and Purchase Management
-
Handle procurement activities related to office supplies, equipment, and project-related materials
-
Raise purchase requests and follow up with vendors for quotations, delivery schedules, and invoicing
-
Maintain a record of purchases and ensure compliance with organizational procurement policies
-
Work closely with finance and accounts teams for timely payments and budget tracking
4. Data Entry & Documentation

Accurately enter project and administrative data into relevant software systems or spreadsheets
-
Maintain updated databases and ensure data integrity and confidentiality
-
Prepare regular reports on procurement status, office expenses, and project administrative updates
-
Assist in documentation related to contracts, purchase orders, and compliance requirements
5. Other Project & Administration Tasks

Support various project administration tasks as assigned by the supervisor or project head
-
Ensure smooth coordination between project teams and administrative departments
-
Assist in organizing events, trainings, or workshops when required
-
Perform any additional duties related to office and project management
Required Skills and Qualifications:

Educational Qualification:

Graduate in any discipline (Bachelor’s degree preferred)

Diploma or certification in office management or administration is a plus

Experience:

Freshers with eagerness to learn are welcome

Experience in administration, procurement, or office coordination is advantageous
