Key Responsibilities:

1. General Office Administration:

  • Manage and oversee the daily operations of the office.

  • Maintain office supplies inventory by checking stock levels, anticipating needs, placing orders, and verifying receipts.

  • Ensure that the office environment is clean, organized, and well-maintained.

  • Receive and direct visitors, handle incoming calls and emails, and ensure prompt responses to inquiries.

  • Maintain office equipment and coordinate maintenance or service when necessary.

2. Document Management:

  • Create, organize, and maintain physical and digital files and records for easy retrieval and compliance with company policies.

  • Draft, proofread, and format documents such as reports, memos, letters, and emails.

  • Handle confidential and sensitive information with discretion and professionalism.

  • Assist in preparing documents for internal meetings and external presentations.

3. Scheduling and Calendar Management:

  • Maintain and coordinate schedules, meetings, appointments, and travel arrangements for managers and teams.

  • Organize meeting logistics, including room reservations, equipment setup, and catering if required.

  • Ensure meeting agendas are prepared and distributed in advance; take minutes and follow up on action items.

  • Manage time effectively to prioritize tasks and accommodate sudden schedule changes.

4. Communication and Coordination:

  • Serve as a liaison between departments and support staff to ensure smooth communication.

  • Coordinate with vendors, service providers, and external stakeholders for office-related requirements.

  • Provide administrative support to various teams and projects, including data entry and research tasks.

  • Distribute internal communication, notices, and memos as directed by management.

5. Data Entry and Record Keeping:

  • Accurately input data into spreadsheets, databases, and other software systems.

  • Maintain records related to attendance, expenses, employee details, and office assets.

  • Generate reports from data as required by management and other departments.

  • Assist with audits and data verification processes.

6. Event and Travel Coordination:

  • Organize internal and external events such as meetings, training sessions, celebrations, or team-building activities.

  • Arrange travel bookings including flights, hotels, and transportation for executives and staff.

  • Prepare travel itineraries and reconcile travel expenses in a timely manner.

7. Support for HR and Finance Functions:

  • Assist the HR department with onboarding new employees by preparing documentation and organizing orientation sessions.

  • Help process administrative paperwork related to leaves, attendance, and employee records.

  • Assist finance or accounts departments with documentation and filing of invoices, expense reports, and purchase orders.

  • Ensure timely submission and accuracy of employee timesheets and reimbursements.

8. Office System Management:

  • Familiarity with using office management systems and software such as document management systems, calendar apps, and CRM tools.

  • Help troubleshoot minor IT or connectivity issues and liaise with IT support when needed.

  • Ensure that company policies related to data privacy, equipment use, and communication protocols are followed.
