Role Overview: An Admission Counsellor at a CBSE school plays a crucial role in guiding prospective students and their families through the admission process. The counsellor serves as the first point of contact for inquiries related to school admissions, helps parents understand the admission procedures, provides information about the school’s offerings, and assists in completing the necessary documentation. The Admission Counsellor works closely with the Head of Admissions and other school staff to manage student inquiries, offer personalized guidance, and support the overall admissions strategy.

Key Responsibilities:

1. Handling Inquiries:

· Initial Contact Point: Respond to all inbound inquiries from prospective students and their families via phone calls, emails, and in-person visits. Provide clear and accurate information about the school’s academic programs, extracurricular activities, facilities, fee structure, and admission process.

· Guidance and Support: Offer guidance to parents regarding the eligibility criteria, documentation requirements, and timelines for the admission process. Answer questions about curriculum, school values, infrastructure, and student life.

· Follow-up: Maintain consistent communication with prospective parents through follow-up calls, emails, or messages, ensuring that they have all the necessary information to proceed with their application.

2. Application Process Management:

· Application Assistance: Assist prospective students and their families in completing and submitting their application forms, and collecting necessary documents such as birth certificates, transfer certificates, and previous academic records.

· Document Verification: Review the submitted documents for completeness and authenticity. Ensure that all required documents are submitted as per the admission guidelines.

· Schedule Interviews/Assessments: Coordinate and schedule interviews or assessments for applicants, if required. Ensure that all appointments are timely and efficiently managed.

3. Conducting School Tours and Orientation:

· School Tours: Organize and conduct personalized school tours for prospective families to showcase the facilities, classrooms, extracurricular spaces, and highlight key features of the school.

· Provide Detailed Information: Explain the school’s vision, mission, academic structure, values, and overall approach to holistic education to prospective students and their parents.

· Orientation Sessions: Conduct or assist in organizing orientation programs to introduce new families to the school’s environment, culture, and academic expectations.

4. Admissions Counselling:

· Personalized Counselling: Provide personalized counselling to parents and students to help them make an informed decision about their educational needs. This includes advising on the most suitable grade or stream based on the student’s previous academic performance, interests, and future aspirations.

· Academic Information: Provide detailed information about the school’s curriculum, extracurricular offerings, special education services (if available), and school policies.

· Support for Special Admissions: Offer counselling for students with special educational needs, understanding their requirements, and guiding parents through the process for special accommodations or placements (if applicable).

5. Coordination with Other Departments:

· Collaboration with the Admissions Team: Work closely with the Head of Admissions and administrative staff to ensure the smooth processing of applications, interviews, and enrolment.

· Online Presence: Contribute to the school's social media channels and website by providing relevant admissions-related content, such as important dates, school highlights, student success stories, and admission announcements.

· Maintain Relationship with Prospective Families: Build and maintain relationships with prospective parents, keeping them informed about the status of their application, upcoming events, and important dates.

7. Admission Documentation and Reporting:

· Maintaining Records: Keep accurate records of all inquiries, applications, interview notes, and follow-ups for each prospective student.

· Database Management: Update and manage the admissions database, ensuring that all information is organized and accessible for future reference.

· Reporting: Provide regular updates to the Head of Admissions on the status of applications, student conversion rates, and feedback from prospective families.

8. Post-Admission Support:

· Confirming Admissions: After admission approval, assist parents with the next steps, such as finalizing the enrolment process, submitting any remaining documents, and completing the payment process.

· Student Induction: Help organize and facilitate the induction process for newly enrolled students and their families, including scheduling orientation sessions, introducing students to their new teachers, and guiding them through the first few days at school.
