Job Description
Key Responsibilities:
1. Procurement Planning & Sourcing

Assist in preparing procurement plans based on production, project, and inventory requirements.

Source reliable suppliers and vendors for materials, machinery, components, or services as per company standards.

Obtain and evaluate quotations, analyze pricing, delivery timelines, and quality to make informed sourcing decisions.
2. Purchase Order Management
-
Issue purchase orders (POs) and track order status to ensure timely delivery of goods and services.

Follow up with vendors on dispatch and delivery timelines, and handle any delays or issues.

Maintain accurate documentation of POs, contracts, and vendor agreements.
3. Vendor Development & Relationship Management
-
Develop and maintain strong professional relationships with key suppliers and vendors.

Evaluate supplier performance based on criteria such as quality, pricing, service, and reliability.

Assist in vendor audits, onboarding of new vendors, and contract renewals or negotiations.
4. Negotiation & Cost Control
-
Negotiate payment terms, discounts, and delivery conditions to ensure favorable deals for the company.

Support cost-reduction initiatives without compromising quality or service levels.

Monitor market trends and pricing fluctuations to make strategic purchasing decisions.
5. Coordination with Internal Departments

Collaborate with production, stores, quality control, and finance departments to align procurement activities with operational needs.

Ensure that all material specifications are met as per the technical and commercial requirements.

Resolve any discrepancies between delivered materials and purchase specifications.
6. Inventory Monitoring & Reporting

Monitor stock levels and generate purchase requests to avoid overstocking or stockouts.

Work with inventory control teams to optimize inventory turnover.

Maintain accurate records and generate regular reports on purchases, deliveries, and procurement metrics.
7. Compliance & Documentation

Ensure compliance with company procurement policies, procedures, and ethical standards.

Maintain proper records for audit and regulatory compliance, including invoices, payment records, and purchase agreements.

Ensure documentation and filing of supplier communications, evaluations, and quality assessments.
