Job Description
Invoice Processing:
Verifying invoices, matching them with purchase orders and receiving reports, and ensuring they are accurately recorded.
Payment Processing:
Scheduling and processing payments to vendors, including bank transfers and checks, and ensuring timely payment to avoid late fees.
Reconciliation:
Regularly reconciling accounts payable balances to ensure accuracy and identify any discrepancies.
Record Keeping:
Maintaining accurate records of all invoices, payments, and related documentation.
Vendor Management:
Building and maintaining positive relationships with vendors, resolving any payment issues, and negotiating favorable payment terms.
Additional Responsibilities:
Petty Cash Management: Handling petty cash disbursements, recording entries, and verifying documentation.
Sales Tax Calculation: Calculating and reporting sales tax on invoices and payments.
Discrepancy Resolution: Investigating and resolving any discrepancies in invoices or payments.
Reporting: Preparing monthly reports and analyses of accounts payable data.
Support: Providing support to other departments on matters related to accounts payable.
Automation: Implementing and utilizing automation tools to streamline invoice processing and payment workflows.
