Job Description
Key Responsibilities:
1. Coordination with Financial Institutions
-
Coordinate with mutual fund houses, insurance companies, AMCs (Asset Management Companies), and other financial service providers for application processing, transactions, and follow-ups.

Liaise with brokers, agents, and distributors to track investments, renewals, and client requests.

Ensure timely follow-up on pending queries, approvals, or discrepancies with external stakeholders.
2. Client Database Management
-
Maintain and regularly update accurate records of client investments, insurance policies, mutual fund holdings, and other financial products.

Ensure proper categorization of clients based on portfolios, risk profiles, or investment categories.

Use CRM tools, spreadsheets, or company-specific software to manage client data securely.
3. Document Management
-
Handle all documentation related to account opening, KYC (Know Your Customer), transaction forms, redemption requests, SIP mandates, etc.

Ensure completeness and accuracy of submitted forms before forwarding them to relevant institutions.

Archive physical and digital documents in compliance with regulatory and company policies.
4. Transaction Processing

Process investment and insurance transactions such as new applications, redemptions, switches, top-ups, renewals, or cancellations.

Validate transaction entries and upload them into the system within prescribed timelines.

Track the status of each transaction and ensure completion, including fund transfers, policy updates, and NAV (Net Asset Value) applications.
5. Reporting and MIS (Management Information Systems)

Prepare daily, weekly, and monthly reports on client investments, transaction statuses, pending issues, and portfolio updates.

Support the front office or relationship managers with customized client portfolio reports.

Assist in reconciling transactions between internal records and reports received from financial institutions.
6. Compliance and Regulatory Support

Ensure adherence to regulatory requirements, including SEBI, IRDAI, and AMFI guidelines.

Monitor timelines for KYC compliance, insurance renewals, SIP continuity, etc.

Report any suspicious activities or discrepancies in client records to the compliance team.
7. Internal Coordination

Work closely with the sales, advisory, and client service teams to support business operations.

Share updates, client data, and documentation status with internal teams on a regular basis.

Provide administrative support for in-house audits, data verification, and process improvements.
