Job Overview

A Billing Executive is responsible for managing the company’s billing process, ensuring accurate invoicing, processing payments, and maintaining financial records. This role requires strong attention to detail, knowledge of accounting principles, and proficiency in billing software.

Key Responsibilities

1. Invoice & Payment Processing

Generate and send invoices to customers or clients.
Process payments via cash, card, online transfers, or other methods.
Verify and reconcile bills with purchase orders and contracts.

2. Record-Keeping & Financial Reporting

Maintain accurate records of invoices, payments, and outstanding dues.
Prepare financial reports on billing status, collections, and revenue.
Ensure timely follow-up on pending payments and overdue accounts.

3. Customer Interaction & Query Resolution

Handle customer inquiries related to billing discrepancies or payment issues.
Provide clarification on invoices, taxes, and charges.
Coordinate with internal teams (sales, finance, accounts) for dispute resolution.

4. Compliance & Documentation

Ensure billing transactions comply with company policies and government regulations.
Maintain tax compliance (GST, VAT, or applicable regional taxes).
Keep digital and physical billing records organized for audits.

5. System & Software Management

Use billing software (Tally, SAP, QuickBooks, Zoho, etc.) for invoicing and record-keeping.
Assist in system updates and troubleshooting billing-related issues.
