Collection Executive
Job Description
Key Responsibilities:
1. Debt Collection:

Contact customers through phone, email, or letters to collect overdue payments on accounts.

Follow up with customers on outstanding debts, ensuring that payments are made within the agreed-upon terms.

Analyze and assess accounts for potential recovery, working closely with customers to create feasible payment plans.

Resolve customer queries and disputes related to billing, payments, or account statuses.

Negotiate payment arrangements with clients and escalate matters to the supervisor or legal team if necessary.
2. Account Management:

Monitor and track accounts with overdue payments, maintaining accurate records in the collection system.

Update customer information, payment statuses, and details of all communications in the company's database.

Provide regular reports on collection activities, including payment trends, recovery progress, and outstanding debts.

Work closely with the finance team to ensure proper documentation of payment receipts and adjustments.
3. Customer Relations:

Ensure that customers are treated with respect and empathy while managing collections, maintaining professionalism at all times.

Work to resolve customer concerns and complaints in a manner that fosters positive relationships, helping to maintain future business opportunities.

Offer alternative payment solutions or flexible payment plans to assist customers in settling outstanding balances.
4. Legal and Compliance:

Ensure all debt recovery actions are in compliance with relevant laws and regulations, such as the Fair Debt Collection Practices Act (FDCPA) or local legal requirements.

Document collection efforts and outcomes in accordance with legal guidelines, ensuring transparency and accuracy.

Collaborate with the legal team or external agencies if the need for legal action arises (e.g., filing lawsuits or initiating recovery via external collection agencies).
5. Reporting and Documentation:

Maintain up-to-date records of all customer communications, payment agreements, and disputes for reference and auditing purposes.

Prepare reports detailing collection efforts, identifying patterns or trends in customer payments.

Provide data analysis on accounts receivable and overdue payments to help management assess the effectiveness of collection strategies.
6. Risk Management:

Identify accounts at risk of default and recommend preemptive action to minimize potential losses.

Monitor customer payment behavior and alert management to high-risk accounts for further review.
