Job Description

A Coordinator is responsible for assisting Chartered Accountants (CAs) and finance teams in managing day-to-day accounting, compliance, reporting, and administrative tasks. This role bridges the operational and accounting functions, ensuring smooth coordination between clients, internal teams, and the CA. The ideal candidate combines financial knowledge, organizational skills, and attention to detail to support accounting and compliance processes effectively.

This position is vital in maintaining accurate financial records, timely compliance, and seamless communication within the finance function.

Key Responsibilities

1. Accounting & Bookkeeping Support

  • Assist in maintaining accurate books of accounts, including ledgers, journals, and vouchers.

  • Support preparation of trial balances, financial statements, and reports for review by the CA.

  • Reconcile bank statements, vendor accounts, and customer accounts regularly.

  • Ensure all accounting entries comply with statutory regulations and company policies.

2. Tax & Compliance Assistance

  • Support CA in preparation and filing of GST, TDS, Income Tax, and other statutory returns.

  • Maintain compliance calendars for timely submission of returns and regulatory documents.

  • Assist in audit preparation, providing necessary documentation and reconciliations.

  • Keep updated with changes in tax laws and regulatory requirements.

3. Client & Vendor Coordination

  • Communicate with clients for necessary documents, clarifications, and approvals.

  • Coordinate with vendors regarding invoices, payments, and reconciliations.

  • Ensure smooth flow of information between clients, internal teams, and CA.

  • Maintain professional relationships to support efficient financial operations.

4. Reporting & MIS Preparation

  • Prepare periodic MIS reports, summaries, and dashboards for management or CA review.

  • Track financial metrics, outstanding payments, and compliance status.

  • Provide analysis and insights based on financial data to support decision-making.

5. Administrative & Coordination Tasks

  • Schedule meetings, calls, and appointments for the CA with clients or internal teams.

  • Maintain records of correspondence, documents, and financial files in an organized manner.

  • Support document verification, data entry, and other administrative tasks as required.

  • Ensure proper documentation for audits, statutory compliance, and internal reviews.

6. Process Improvement & Collaboration

  • Identify opportunities to improve accounting, reporting, and compliance processes.

  • Collaborate with internal finance teams, CA, and clients to streamline operations.

  • Suggest and implement best practices to enhance efficiency, accuracy, and compliance.

Required Skills & Competencies

  • Accounting Knowledge: Basic understanding of accounting principles, bookkeeping, and finance operations.

  • Tax & Compliance Awareness: Familiarity with GST, TDS, Income Tax, and other statutory requirements.

  • Communication Skills: Strong verbal and written skills for liaising with clients, vendors, and internal teams.

  • Analytical Ability: Ability to review financial data, identify discrepancies, and provide accurate information.

  • Organizational Skills: Efficient document handling, record-keeping, and task prioritization.

  • Attention to Detail: Accuracy in accounting entries, compliance submissions, and reporting.

  • Technical Proficiency: Knowledge of accounting software (Tally, QuickBooks, Zoho Books) and MS Office.

  • Team Collaboration: Ability to work effectively with CA, finance team, and clients.
