Job Description
RESPONSIBILITIES: They should be well-organized and be comfortable scheduling meetings and responding to emails on the MD's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.
- Calendar management for Managing Director
- Aid executive in preparing for meetings (meeting scheduling, taking notes, minutes of the meeting).
- Responding to emails and document requests on behalf of MD.
- Submit requests for reimbursements for travel, meals, hotel, and other expenses.
- Maintain records such as personnel, project, and other files.
- Worked as an Admin Coordinator.
- Maintain travel itineraries and manage expense reimbursement process to ensure accurate and timely submission.
- Responsible for gathering all business process analyst reports and creating a summary report for management.
- Maintaining database, organizing & and keeping track of the team logistics, and inter-communications within the different departments for coordination.
QUALIFICATION:
- Bachelor's degree or equivalent experience
- Proficient in Microsoft Office suite
- Experience in managing multiple priorities, administrative coordination, and logistics.
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills
- Minimum 2 years experience in an administrative role reporting directly to upper management.
- Superb written and verbal communication skills (English is a must)
- Strong time-management skills and the ability to organize and coordinate multiple projects at once.
