Job Description

Job Summary:

We are looking for a highly organized, proactive, and confidential Executive Assistant to provide direct administrative and strategic support to the Managing Director of a growing textile company. The ideal candidate will have experience in a fast-paced manufacturing or textile environment, with strong coordination, communication, and multitasking abilities.

This role demands a professional who can manage the MD's time effectively, handle sensitive information discreetly, and act as a bridge between internal teams and external stakeholders. The Executive Assistant will play a critical role in facilitating smooth business operations and enabling the MD to focus on strategic initiatives.

Key Responsibilities:

1. Administrative & Office Management

  • Manage the MD’s calendar, schedule appointments, internal meetings, and external engagements.

  • Handle email correspondence, phone calls, and documentation on behalf of the MD.

  • Organize travel arrangements, itineraries, hotel bookings, and logistics for business trips.

  • Prepare and manage expense reports, invoices, and reimbursements.

2. Meeting & Communication Coordination

  • Schedule, coordinate, and prepare agendas for executive meetings and follow up on action items.

  • Record meeting minutes, summarize discussions, and share action points with stakeholders.

  • Serve as a communication liaison between the MD and department heads, clients, suppliers, and partners.

  • Draft professional emails, memos, presentations, and letters as required.

3. Business Support and Reporting

  • Assist the MD in preparing reports, dashboards, and summaries related to production, sales, finance, or procurement.

  • Track key business metrics and compile data from various departments for management reviews.

  • Coordinate with internal departments (production, merchandising, HR, logistics, etc.) to ensure information flow and timely execution of tasks.

4. Project Coordination

  • Monitor progress on key strategic projects initiated by the MD and ensure timely follow-up.

  • Maintain a project tracker and flag bottlenecks or delays.

  • Liaise with vendors, consultants, and external agencies as needed for project implementation.

5. Confidential Support

  • Maintain utmost confidentiality in handling sensitive business information, HR matters, and financial data.

  • Support the MD in personnel evaluations, disciplinary actions, or confidential discussions when required.

  • Ensure secure and organized filing of important legal, operational, and HR documents.

6. Event and Visitor Management

  • Organize and coordinate internal company events, board meetings, or factory visits.

  • Receive and assist business guests, clients, or foreign delegations visiting the company.

  • Ensure hospitality and logistics are arranged professionally for senior visitors.

Skills and Competencies Required:

Core Skills:

  • Excellent verbal and written communication in English and local language.

  • Strong command of MS Office tools, especially Excel, PowerPoint, Word, and Outlook.

  • Calendar management and time organization proficiency.

  • Ability to create and format professional documents, presentations, and reports.

Professional Attributes:

  • High degree of discretion, ethics, and confidentiality.

  • Well-groomed, professional demeanor with executive presence.

  • Strong coordination, interpersonal, and follow-up skills.

  • Ability to multitask, prioritize, and handle pressure in a dynamic environment.

Industry-Specific Knowledge (Preferred):

  • Basic understanding of textile manufacturing processes, production terminology, buyer communication, and merchandising cycles.

  • Familiarity with order lifecycle, dispatch schedules, vendor interactions, and compliance protocols in the textile/apparel sector.
