Job Description
Position Overview
We are seeking a proactive and well-organized Executive Assistant to support daily office operations and administrative tasks. The ideal candidate will possess strong communication skills, a good command of Microsoft Excel and Tally, and the ability to manage multiple tasks efficiently. This role involves handling day-to-day office work, coordinating with internal and external stakeholders, supporting basic accounting activities, and ensuring timely task completion and follow-ups.
Key Responsibilities
1. Administrative Support

Perform daily office operations including filing, document preparation, and managing office supplies.

Organize and maintain physical and digital records in an orderly manner.

Draft, review, and manage correspondence (emails, letters, etc.) on behalf of management.

Coordinate office schedules, meetings, and appointments as required.
2. Communication and Coordination
-
Act as the point of contact between the management and internal/external parties.

Maintain professional communication with clients, vendors, and team members.

Follow up on assigned tasks, project updates, and pending deliverables from other departments or vendors.

Ensure timely responses to emails, messages, and calls related to ongoing office activities.
3. Task and Follow-up Management

Track and monitor the progress of assigned tasks and ensure completion within deadlines.

Maintain daily task lists and provide timely updates to reporting managers.

Remind and prompt team members or vendors regarding upcoming deadlines, meetings, or work deliveries.

Identify pending issues and follow up persistently for closure.
4. Excel and Data Management

Prepare, maintain, and update Excel reports for various administrative and operational functions.

Work with spreadsheets to manage data related to inventory, billing, tracking, and performance logs.

Use formulas, filters, and pivot tables (basic to intermediate) to analyze data and generate summaries.
5. Basic Accounts and Tally

Manage daily accounting entries in Tally ERP including vouchers, sales, purchases, expenses, and receipts.

Support the finance or accounts team with GST entries, invoice generation, and payment follow-ups.

Maintain petty cash records and handle basic bookkeeping duties under supervision.

Assist with preparation of financial summaries and reports for internal use.
6. Office Organization and Housekeeping Oversight

Ensure that office premises are clean, organized, and fully stocked with essential items.

Liaise with facility management and housekeeping vendors when required.

Support smooth day-to-day functioning of the workplace.
Key Skills:

Excellent verbal and written communication skills in English and local language.

Strong proficiency in MS Excel (formulas, formatting, basic data analysis).

Practical knowledge of Tally ERP for data entry and day-to-day accounts.

Organizational and time-management skills with attention to detail.

Ability to manage and prioritize multiple tasks independently.

Professional attitude with discretion, reliability, and integrity.
