Job Description

Objective

  • To manage the office of Managing Director, providing high-level, confidential executive
  • level ,support to ensure effectiveness and efficiency.
  • Reports to : Managing Director

Key tasks and responsibilities

  • Anticipating the needs of the MD and proactively addressing issues with an emphasis on sound judgment and appropriate.
  • Work closely with other team members and strategic partners on key related tasks and projects.
  • Manage and maintain the calendar and long term schedule.
  • Responsible for managing the day to day schedules
  • Receive guests and answer the telephone for the MD
  • Prepare itineraries and coordinate all travel arrangements for the MD including assembling materials and information needed for travel.
  • Ensuring that material for discussion and back ground papers are appropriately prepared and MD briefed about it prior to meetings.
  • Preparation of agenda and keeping such records as required.
  • Attending meetings, events, and other key destinations where directed by the MD.
  • Coordinate administrative tasks such as timesheets, and expense forms and handling mail and correspondence for the MD and follow up on all aspects
  • Liaise with Board members and investors as required.
  • Coordinate conference calls, conferences and meetings with internal team and external parties (including C-level executives, members and prospects, funders, colleagues, stakeholders and policymakers)
  • Responsible for handling all guest and employee inquiries in an effective and efficient manner.
  • Maintain and file all relevant financial documentation and other file and folders as required
  • Maintain MIS on various aspects of the organization and presentation as desired by MD.
  • Organization of events and other activities including personal requirements.
  • Preparation of materials and logistics for Board of Director meetings and calls.
  • Special projects on an as needed basis.

Critical aspects of the job:

  • To ensure strict confidentiality of the office of MD
  • To work extended hours and beyond the working hours from home as required.
  • Always staying in touch while MD is traveling.

Qualification & Skills

  • Bachelors Degree with five years plus of experience supporting senior managers, strong computer skills.
  • Ability to manage upwards
  • Handle confidential information and multitask.
  • Personal attributes such as discretion, a high level of professionalism, strong attention to detail, organization and written.
