Job Description
Key Responsibilities
1. Joining Formalities & Documentation
Collect and verify all new joinee documents prior to onboarding
Coordinate pre-employment medical check-ups
Prepare Employee ID cards
Coordinate laptop allocation, configuration, and readiness (On-roll & Off-roll associates)
Ensure official email ID configuration
Prepare and distribute new joinee kits before joining date

Maintain and update new joinee personal files
Process SIM card requests
Prepare Non-Compete Agreements and maintain tracking records
Schedule and track induction programs (IT, Safety & Organization Induction)
Schedule Integration Teachback sessions and maintain trackers
Track PAN-Aadhaar linking, PF & Gratuity nominations, Mediclaim nominations
Handle GCV processes including nomination, logistics, and invoice processing
Process Intern email ID requests and experience letters
Draft and issue Appointment Letters, COE Letters, Bonafide Letters
Coordinate workstation allocation and nameplate arrangements
Prepare welcome notes and assign mentors (maintain mentor reports & meeting
schedules)
2. Bill Processing (SAP / Non-PO / Reimbursement)
Process vendor bills through SAP/Non-PO/reimbursement forms
Coordinate with SSC Team and follow up until vendor payment is credited
Process:
o Retainer invoices
o Consultancy invoices
o Training invoices
o Associate cash vouchers
o Full & Final (F&F) settlements
o Hotel & food invoices
3. Training Coordination & L&D Support
Arrange training materials and logistics (Food & Guest House if required)
Maintain L&D calendar
Maintain training records and trackers (Planned & Unplanned programs)
Follow up with participants for assessments, feedback, and confirmations
Upload training details on Talent Hub

Manage training cards and documentation
4. Statutory Compliance (PF & ESIC Coordination)
Share new joinee & transfer associate PF & ESIC details with consultants
Share exit associates’ data with PF consultant
Ensure PF/Pension documentation queries are resolved and submitted to PF office
Ensure long service emails are sent within defined timelines
5. Payroll Audit
Create quarterly payroll audit folders
Maintain required documentation
Verify employee master data accuracy
6. Employee Engagement & Support
Send Birthday & Anniversary mails
Assist in event coordination and arrangements
Support invoice processing related to events
Maintain and update employee personal files
Key Skills & Competencies
Strong knowledge of HR Operations & employee lifecycle management
Familiarity with SAP / HRMS systems
Understanding of PF, ESIC, Gratuity & statutory compliance
Strong documentation & record-keeping skills
Excellent coordination and follow-up abilities
Attention to detail and timeline-driven execution
Good communication and stakeholder management skills
