Job Summary:
The Executive - Training Operations is responsible for managing and coordinating the administrative and logistical aspects of training programs within an organization. This role supports the Training or Learning & Development (L&D) department by organizing sessions, scheduling trainers, maintaining records, tracking training metrics, and ensuring a smooth delivery of training events, whether in-person, virtual, or blended.
The Training Operations Executive plays a crucial role in ensuring the overall efficiency of the training process, making sure that programs are delivered on time, within scope, and aligned with organizational objectives.
Key Responsibilities:

Training Coordination and Scheduling:

Plan and organize training sessions as per the training calendar or business requirements.

Coordinate with internal teams, trainers, facilitators, and external vendors.

Schedule training venues, technology (e.g., Zoom, MS Teams), and necessary materials.

Manage invitations and enrollments for participants.

Training Logistics Management:

Ensure that all training materials, supplies, and resources are available before each session.

Arrange for travel, accommodation, or catering if required for in-person sessions.

Set up training rooms or virtual platforms, perform tech checks, and support smooth execution.

Record Keeping and Data Management:

Maintain training records, attendance sheets, and feedback forms.

Update Learning Management Systems (LMS) or Excel trackers with participant details.

Ensure compliance with documentation standards and audit requirements.

Communication and Coordination:

Communicate clearly with participants about schedules, joining details, and requirements.

Follow up with attendees for confirmations, feedback, or post-training assessments.

Coordinate with cross-functional departments such as HR, Admin, and IT for training-related support.

Reporting and Analysis:

Compile and analyze training feedback, attendance data, and effectiveness scores.

Generate periodic reports for the Training Manager or L&D leadership.

Suggest improvements based on participant feedback or process gaps.

Vendor and Trainer Management:

Coordinate with third-party training vendors or freelance trainers.

Ensure proper documentation such as contracts, invoices, and feedback reports are maintained.

Assist in onboarding new training partners or subject matter experts.

Budget and Expense Tracking:

Assist in managing the training budget, tracking costs, and submitting expense reports.

Ensure adherence to the allocated training budget and report discrepancies promptly.

Learning System Support:

Support end-users in accessing LMS, enrolling in courses, and troubleshooting technical issues.

Upload content, assessments, and feedback forms onto the LMS platform.
Required Skills and Competencies:

Excellent Organizational Skills: Ability to manage multiple training sessions, resources, and stakeholders simultaneously.

Communication Skills: Strong written and verbal communication to coordinate with participants, trainers, and vendors.

Attention to Detail: Accuracy in managing participant lists, feedback data, certificates, and budgets.

Technical Proficiency: Comfortable using MS Office (especially Excel and PowerPoint), virtual conferencing tools (Zoom, Google Meet, MS Teams), and Learning Management Systems (LMS).

Time Management: Ability to work with deadlines, handle urgent requests, and prioritize tasks effectively.

Problem Solving: Capable of troubleshooting issues during training sessions, especially with technology or logistics.
