Export Assistant
Job Description
Key Responsibilities:
1. Export Documentation (Pre-shipment and Post-shipment):

Prepare and manage all export-related documents such as:
-
Proforma Invoice
-
Commercial Invoice
-
Packing List
-
Shipping Instructions
-
Bill of Lading / Airway Bill
-
Certificate of Origin
-
Inspection Certificates
-
Export Declaration Forms
-
-
Ensure that documentation complies with customs regulations, buyer requirements, and letter of credit (L/C) terms (if applicable).
-
Submit shipping instructions to freight forwarders and shipping lines.
2. Pre-shipment Activities:
-
Coordinate with the production and warehouse team for timely packing and dispatch.
-
Liaise with CHA for booking container space, pick-up schedules, and factory stuffing arrangements.
-
Generate e-invoice and e-way bill for shipments using government portals (GST portal or other integrated systems).
-
Check export orders and documentation before dispatch for accuracy and compliance.
-
Track shipments for estimated departure and arrival times.
3. Post-shipment Activities:
-
Prepare post-shipment documentation such as:
-
Shipping Bill copy
-
Bank Realization Certificate (BRC)
-
Export Invoice and Packing List
-
Freight and Insurance documents
-
-
Submit documents to the bank for realization of payment under L/C or advance terms.
-
Coordinate for export incentives like Drawback, RoDTEP, or MEIS claims.
-
Ensure timely submission of documents to concerned departments for rebate or refund purposes.
4. Bank and CHA Coordination:
-
Follow up with the bank for:
-
Submission of shipping documents
-
Realization of export proceeds
-
Issuance of BRCs
-
-
Communicate with CHA for timely filing of Shipping Bills and customs clearance.
-
Ensure all compliance requirements are met before and after shipment.
5. Data Maintenance and Reporting:

Maintain and update internal Excel records related to:
-
Export shipments
-
Document status
-
Drawback and RoDTEP claim amounts
-
Bank realization and pending invoices
-
-
Update export documentation and shipment status in ERP or manual registers as applicable.
-
Keep a digital and physical file system for all documentation for easy reference and audit purposes.
6. Communication and Coordination:
-
Check and respond to export-related emails from clients, freight forwarders, CHA, banks, and government agencies.
-
Share shipment updates, document status, and tracking information with internal and external stakeholders.
-
Support export team in communicating with buyers regarding document approval and shipment updates.
