Key Responsibilities:
1. Front Office & Reception Duties:
-
Greet and assist visitors, clients, and guests courteously and professionally.

Answer, screen, and forward incoming phone calls to appropriate departments or individuals.

Maintain a clean and organized reception area at all times.

Handle the sign-in/sign-out process for visitors and manage the visitor logbook.

Offer tea/coffee or water to visitors, if required.
2. Office Administrative Support:
-
Handle day-to-day administrative tasks including filing, photocopying, data entry, and scanning.

Manage the dispatch and receipt of documents, couriers, and official mail.

Assist in maintaining office supplies inventory and placing orders when required.

Coordinate with housekeeping and maintenance teams to ensure smooth office operations.
3. Communication & Coordination:
-
Act as a point of contact between departments, employees, and external stakeholders.

Receive and relay messages accurately and efficiently.

Assist with scheduling meetings, appointments, and conference room bookings.
-
Follow up on appointments and maintain calendars as required.
4. Document Handling:
-
Maintain records and files—both physical and digital—in an organized manner.

Assist in preparing simple letters, reports, and internal communications.

Support in formatting and proofreading documents for administrative use.
5. Support to HR/Admin Departments:
-
Help with onboarding tasks like welcoming new employees or organizing joining kits.
-
Distribute internal circulars, notices, or memos to departments.

Assist with event coordination such as staff birthdays, meetings, or office functions.
6. Basic Accounting Support (if required):
-
Maintain petty cash records and prepare expense statements (if assigned).

Assist in collecting and submitting bills or invoices to the accounts department.

Help coordinate with vendors for payment follow-ups or documentation.
