Introduction
We are looking for a professional, courteous, and organized Front Office Executive to manage our reception area and provide outstanding support to clients, visitors, and internal staff. The Front Office Executive will serve as the first point of contact, creating a positive impression and ensuring smooth office operations.
This role requires excellent communication skills, multitasking ability, and a welcoming personality.
Key Responsibilities
1. Reception & Visitor Management

Greet and welcome visitors, clients, and employees with a friendly and professional attitude.

Manage the front desk, answer calls, and direct visitors to the appropriate departments.

Maintain a clean, organized, and presentable reception area at all times.
2. Telephone & Communication Handling

Answer, screen, and forward incoming calls efficiently.

Respond to emails, messages, and inquiries in a professional manner.

Provide accurate information regarding company policies, services, and procedures.
3. Appointment Scheduling & Coordination

Maintain and manage calendars for executives or departments.

Schedule meetings, interviews, and appointments as required.

Coordinate with staff to ensure smooth scheduling and timely follow-ups.
4. Administrative Support

Maintain records of visitors, calls, and office correspondence.

Assist in filing, documentation, and courier management.

Support HR, administration, and other departments with daily office operations.
5. Customer Service & Relationship Building

Provide assistance and support to clients or visitors when needed.

Address complaints or concerns professionally and escalate when necessary.

Act as a liaison between management, staff, and external stakeholders.
6. Security & Compliance

Ensure security protocols are followed at the reception area.

Monitor visitor access and maintain records as per company policies.

Ensure compliance with data privacy and office safety regulations.
