FRONT OFFICE RECEPTIONIST

Roles and Responsibility:


  • The Candidates Should Have Good Communication Skills, Basic Computer Knowledge, Googling Skills.
  • The candidate is responsible for greeting guests, receiving packages, data verification, and coordinating basic office operations and helping them navigate through an office.
  • Handling queries and complaints via phone(Inbound & Outbound calls), email and general correspondence.
  • Maintaining ledgers- incoming & outgoing visitors.
  • Scheduling appointments.

Job Overview:

A Front Office Receptionist serves as the first point of contact for visitors, clients, and employees. They manage front desk operations, handle administrative tasks, and ensure smooth communication within the organization. This role requires strong interpersonal skills, professionalism, and organizational abilities.

Key Responsibilities:

  1. Greeting Visitors & Clients – Welcome guests with a friendly attitude and direct them to the appropriate person or department.
  2. Managing Phone Calls – Answer incoming calls, transfer them to the right department, and take messages when necessary.
  3. Handling Appointments & Scheduling – Maintain calendars, book appointments, and schedule meetings.
  4. Receiving & Sorting Mail – Distribute incoming mail, courier packages, and manage outgoing deliveries.
  5. Administrative Support – Assist in filing documents, data entry, and maintaining office records.
  6. Visitor Log Management – Maintain records of visitors, employees, and deliveries for security purposes.
  7. Customer Service & Assistance – Address general inquiries, provide information, and assist guests with their needs.
  8. Coordinating with Office Staff – Communicate with different departments to facilitate smooth operations.
  9. Maintaining Clean & Organized Reception Area – Ensure the front desk area remains tidy and presentable.
  10. Handling Office Supplies & Inventory – Monitor and order office supplies when needed.

Skills Required:

  • Excellent Communication Skills – Verbal and written proficiency in English and local languages.
  • Professionalism & Etiquette – Maintain a pleasant and courteous demeanor.
  • Multitasking & Time Management – Handle multiple tasks efficiently while managing the front desk.
  • Basic Computer Knowledge – Proficiency in MS Office, email handling, and office management software.
  • Attention to Detail – Ensure accuracy in scheduling, messages, and record-keeping.
  • Problem-Solving Ability – Handle guest complaints or unexpected situations professionally.

Qualifications:

  • Education: Minimum 12th pass or Bachelor’s degree in any field (preferred).
  • Technical Skills: Familiarity with office equipment like telephones, printers, and scanners.
  • Language Skills: Fluency in English and additional languages is an advantage.
