Job Summary:
An HR Executive plays a key role in managing and supporting various human resources functions within an organization. This includes recruitment, onboarding, employee relations, performance management, HR documentation, compliance, and supporting employee engagement initiatives. The HR Executive acts as a bridge between management and employees, ensuring a healthy workplace culture while aligning HR policies with business goals.
This role requires strong organizational and communication skills, attention to detail, and the ability to handle sensitive matters with confidentiality and professionalism.
Key Responsibilities:
1. Recruitment and Staffing

Assist in the full-cycle recruitment process including posting job ads, screening resumes, conducting interviews, and shortlisting candidates.

Coordinate with department heads to understand staffing needs and job requirements.

Schedule and conduct interviews, administer assessments (if applicable), and manage candidate communications.

Maintain candidate database and track recruitment metrics such as time-to-fill and selection ratios.
2. Onboarding and Induction

Facilitate the onboarding process for new employees, including documentation, orientation, and training coordination.

Ensure all joining formalities are completed (offer letter, ID proof, qualification, background check, etc.).

Introduce company policies, processes, and teams to new hires.

Assign mentors or buddies to ensure a smooth transition for new employees.
3. HR Operations and Employee Records

Maintain and update employee records in HRIS or manual systems, including personal details, attendance, and leave records.

Draft and issue HR documents such as appointment letters, confirmation letters, experience certificates, and relieving letters.

Manage attendance tracking systems and leave management in coordination with payroll and admin.
4. Payroll and Benefits Administration

Assist in monthly payroll preparation by collecting attendance data, leave information, and other inputs.

Handle employee queries related to salaries, deductions, PF/ESI, reimbursements, and other benefits.

Coordinate with finance or payroll service providers to ensure timely and accurate salary processing.
5. Employee Engagement and Communication
-
Support the organization in planning and executing employee engagement activities, events, and team-building programs.

Conduct regular surveys to assess employee satisfaction and gather feedback for improvement.

Act as a point of contact for employee concerns and grievances, escalating issues when needed.
6. Compliance and Policy Implementation
-
Ensure compliance with statutory labor laws and HR policies (PF, ESI, gratuity, minimum wages, sexual misconduct or laws, etc.).

Assist in audits and inspections related to labor compliance.

Support in drafting and updating company HR policies and procedures as per current labor laws and best practices.
7. Performance Management Support

Coordinate the performance appraisal cycle, assist managers in preparing evaluation forms, and maintain performance records.

Track goal-setting, appraisal timelines, and ensure proper documentation and communication.

Support managers in identifying training and development needs based on performance data.
8. Exit Management

Conduct exit interviews, collect feedback, and identify reasons for attrition.

Manage the full and final settlement process including clearance from departments.
-
Ensure proper handover and deactivation of systems and access.
9. HR Reporting and Analytics

Prepare HR reports including attrition rate, headcount, attendance reports, recruitment status, and training records.

Analyze HR data to identify trends and make recommendations for improvement.
-
Maintain dashboards to provide real-time insights for leadership.
