Job Description

Job Summary:

An HR Executive plays a vital role in the day-to-day management of human resources operations within an organization. The position involves overseeing recruitment processes, employee onboarding, payroll coordination, HR documentation, and employee relations. The HR Executive serves as a key link between management and employees, ensuring that HR practices are aligned with business goals and compliant with labor laws.

This role demands strong interpersonal skills, attention to detail, and a foundational understanding of HR policies and practices. It offers a mix of administrative tasks, employee interaction, and strategic involvement in human capital management.

Key Responsibilities:

1. Recruitment and Staffing:

  • Coordinate with department heads to identify current and future hiring needs.

  • Draft and post job openings on job portals, social media, and other channels.

  • Screen resumes, conduct initial telephonic interviews, and schedule further rounds.

  • Manage candidate communications, interview feedback, and selection documentation.

  • Maintain a database of shortlisted and prospective candidates for future hiring.

2. Onboarding and Induction:

  • Facilitate smooth onboarding for new hires including documentation, ID creation, and orientation.

  • Conduct induction programs to familiarize employees with company culture, policies, and procedures.

  • Ensure joining formalities such as verification of documents, background checks, and contract signings are completed in a timely manner.

3. HR Documentation and Records Management:

  • Maintain accurate and up-to-date employee records in HRMS or physical files.

  • Ensure compliance with statutory documentation such as PF, ESI, and gratuity.

  • Prepare offer letters, appointment letters, experience letters, and other official documents as required.

4. Payroll and Attendance Coordination:

  • Collect and verify monthly attendance, leave records, and overtime details.

  • Coordinate with the finance/payroll team to ensure timely and accurate salary processing.

  • Handle employee queries related to payslips, tax deductions, and reimbursements.

5. Employee Engagement and Welfare:

  • Plan and execute employee engagement activities such as team outings, festive celebrations, and wellness programs.

  • Conduct employee satisfaction surveys and analyze feedback for improvement.

  • Handle birthday and anniversary celebrations and internal communication announcements.

6. Grievance Handling and Employee Relations:

  • Serve as the first point of contact for employee concerns and grievances.

  • Mediate and resolve workplace conflicts in consultation with the HR Manager.

  • Promote a healthy, inclusive, and respectful work environment.

7. Compliance and Policy Enforcement:

  • Ensure adherence to company policies, labor laws, and HR best practices.

  • Assist in implementing and updating HR policies and employee handbooks.

  • Support audits and internal reviews by maintaining compliance documentation.

8. Training and Development Support:

  • Assist in identifying employee training needs in coordination with managers.

  • Coordinate internal and external training programs and maintain attendance records.

  • Track training effectiveness and prepare feedback reports.

9. Exit Management:

  • Manage the employee exit process including resignation acceptance, clearance formalities, and final settlement coordination.

  • Conduct exit interviews and compile data for analysis of attrition trends.

  • Ensure timely issuance of relieving letters and experience certificates.
