Key Responsibilities
1. Administrative Support

Provide administrative and clerical support to management and staff.

Prepare and manage documents, reports, spreadsheets, and presentations.

Handle incoming and outgoing communications including calls, emails, and correspondence.

Maintain organized filing systems (digital and physical) for company records.
2. Office Management

Oversee general office maintenance, cleanliness, and supplies.

Monitor inventory and place orders for office equipment and stationery.

Coordinate with vendors, service providers, and building management.

Ensure office policies are up to date and adhered to.
3. Scheduling & Coordination

Schedule appointments, meetings, and conferences for team members and senior executives.

Prepare agendas, take meeting minutes, and distribute notes as needed.

Coordinate travel arrangements including tickets, hotels, and transportation.
4. HR & Compliance Support
-
Assist HR in maintaining employee records, onboarding new hires, and managing attendance or leave records.

Help with employee engagement activities, office events, and celebrations.

Ensure adherence to workplace safety, health, and legal compliance.
5. Financial and Procurement Assistance

Process and record basic invoices, petty cash, reimbursements, and expense reports.

Maintain records for office-related purchases and budgets.

Liaise with accounts and procurement teams for document handovers.
6. Communication and Coordination

Serve as the first point of contact for clients, guests, and vendors.

Distribute internal communications, memos, circulars, and newsletters.

Assist in organizing internal training sessions, workshops, and team meetings.
