We are looking for a proactive and organized Office Assistant to support our Sales Operations and Accounts teams. The Office Assistant will play a crucial role in managing daily communications with clients, coordinating internal departments, and assisting with product, payment, and operational information. Additionally, the candidate should possess basic knowledge of social media marketing to assist with promotional activities.

This role requires excellent communication skills, attention to detail, and the ability to multitask efficiently in a fast-paced environment. The Office Assistant will be an essential link between clients, sales, and accounts, ensuring smooth information flow and customer satisfaction.

Key Responsibilities

1. Coordination and Support

  • Assist sales and accounts departments by coordinating communication and follow-ups.

  • Help prepare and send quotations, invoices, payment reminders, and product details to clients.

  • Maintain organized records of sales orders, client communications, payments, and receipts.

  • Liaise with internal teams to ensure timely order processing and issue resolution.

2. Client Communication

  • Communicate with clients daily via phone, email, and messaging platforms to provide product information, payment updates, and other relevant details.

  • Address client queries promptly or escalate to appropriate departments when necessary.

  • Maintain a courteous, professional, and client-friendly approach at all times.

3. Social Media Marketing Assistance

  • Support the marketing team by posting content, responding to messages/comments, and helping with social media campaigns.

  • Monitor social media channels for client feedback, inquiries, and engagement opportunities.

  • Assist in creating simple promotional content or coordinate with marketing professionals for content updates.

4. Administrative Duties

  • Manage and update client databases and sales records.

  • Organize files, documents, and correspondence related to sales and accounts.

  • Assist in scheduling meetings, preparing reports, and other administrative tasks as required.
